About The Position

PAX Health is seeking an experienced EHR Integration & Implementation Project Manager to oversee the consolidation of six operating companies onto a single ClinicMind EHR platform. The consultant will lead multiple healthcare technology implementation workstreams, including EHR integrations, data migration, vendor coordination, testing, and go-live support. The role requires collaboration across technical and operational teams and effective communication with senior leadership. The consultant will oversee ClinicMind implementation across all six companies; manage the referral portal, website scheduling integration, AI receptionist deployment, and migration of patient and operational data from legacy systems; and coordinate testing, training, launch, and stabilization activities. The consultant will maintain project plans, timelines, status reports, action items, and risk and issue logs; provide executive updates; facilitate cross-functional communication; escalate critical issues; and recommend corrective actions. The engagement continues through implementation, data migration, stabilization, and project closeout unless modified by mutual written agreement. The consultant reports directly to the COO.

Requirements

Bachelor’s degree in Information Technology, Healthcare Administration, Business, Project Management, or a related field.
3–5+ years of experience managing healthcare IT or EHR implementation projects.
Experience leading cross-functional projects involving multiple stakeholders, vendors, and executive leadership.
Demonstrated experience with EHR implementations, data migration, system integrations, and go-live support.
Strong project management skills, including timeline development, risk management, issue tracking, and status reporting.
Excellent communication, facilitation, and organizational skills.
Ability to manage multiple workstreams simultaneously in a fast-paced environment.

Nice To Haves

Experience implementing ClinicMind or another ambulatory EHR platform.
Knowledge of healthcare operations, referral workflows, scheduling systems, and patient access processes.
PMP, CAPM, or another project management certification.
Experience supporting AI workflow or patient communication technology implementations.

Responsibilities

Lead and oversee the ClinicMind implementation across six companies, maintaining the overall project plan, timeline, milestones, and deliverables.
Coordinate meetings and implementation activities with stakeholders, ClinicMind teams, and third-party vendors; monitor progress, identify risks, and implement mitigation strategies.
Oversee the design, configuration, testing, deployment, and stabilization of the ClinicMind referral portal, coordinating referral partners and internal workflows and validating accuracy, efficiency, and compliance.
Oversee integration of ClinicMind scheduling with the organization’s websites, coordinating web developers, technical teams, and internal stakeholders, and supervising user acceptance testing and deployment.
Manage implementation and rollout of the AI receptionist, including configuration, call routing, scripting, scheduling integration, workflow automation, testing, staff training, and go-live support.
Coordinate migration of patient and operational data into ClinicMind, overseeing mapping, validation, cleansing, testing, data integrity, completeness, compliance, reconciliation, and issue resolution.
Serve as the primary implementation oversight lead across all workstreams.
Maintain project documentation, status reports, action items, and risk and issue logs, and provide regular executive updates on status, risks, and key decisions.
Facilitate communication among leadership, operations, IT, vendors, and implementation teams; escalate critical issues and recommend solutions.
Deliver a comprehensive project plan, integrated timeline, weekly status reports, risk and issue log, data migration readiness and validation reports, implementation oversight for the referral portal, website scheduling and AI receptionist, go-live readiness assessment, and post-implementation stabilization support and transition documentation.
Coordinate implementation activities with ClinicMind and other stakeholders and report progress, risks, and recommended corrective actions to the COO.
