E-Commerce & Wine Club Fulfillment Manager
About The Position
The E-Commerce & Wine Club Fulfillment Manager manages daily e-commerce and Wine Club fulfillment operations and provides responsive service to members and customers. The role oversees order processing, inventory, shipping, compliance, Wine Club builds, and related warehouse activities to ensure orders are accurately prepared and shipped on time. It also supports membership account management, member communications and events, and general member needs while collaborating with Warehouse, Marketing, and other departments to maintain efficient processes and a high-quality customer experience. This is a full-time, in-person position based in Bryan, Texas. The work schedule and amount of travel vary. The position reports to the Director of Membership and is classified as non-exempt.
Requirements
- Experience in wine, retail, or a closely related field.
- Experience in customer service, shipping, and compliance.
- Experience with e-commerce or website maintenance.
- Ability to use a personal computer and working knowledge of programs including Microsoft Word and Excel.
- Must maintain active TABC and Food Handler certifications at all times.
- Must be able to frequently lift and/or move up to 40 pounds.
- Must be able to meet the stated physical demands, including regularly talking or hearing; frequently standing, walking, and sitting; occasionally reaching, stooping, kneeling, and crouching; and frequently standing for long periods.
Responsibilities
- Oversee outgoing shipments for orders placed through the webstore.
- Assist customers with placing orders and answer questions by phone or email.
- Maintain accurate inventory of wine stored for direct-to-consumer (DTC) and Wine Club orders.
- Lead the monthly DTC wine pull and submit it to the Warehouse.
- Check in monthly DTC and Wine Club wine shipments and review Warehouse paper transfers for accuracy.
- Execute wine transfers in OrderPort as needed to maintain accurate inventory between departments, excluding the Warehouse.
- Track compliance for individual items through ShipCompliant and for states requiring direct compliance.
- Use the VinoShipper platform to support compliant shipments and item listings.
- Organize the Warehouse to maximize space for regular and Wine Club inventory.
- Maintain accurate counts of shipping supplies and order supplies as needed.
- Process monthly shipping cost transfers between departments.
- Work with FedEx and UPS to resolve shipping issues, including hold-at requests, damages, address issues, and damage claims.
- Oversee webstore updates and maintenance.
- Execute large-quantity holiday shipping orders.
- Assist with quarterly Wine Club builds and lead shipping.
- Lead quarterly Wine Club hard-ship builds and custom Wine Club order builds and shipping.
- Wrap and load Wine Club and hard-ship shipments.
- Maintain processes that ensure Wine Club labels print correctly across OrderPort and VinoShipper.
- Travel to other locations to assist with member and company events as needed.
- Assist with Wine Club communications, Red Chirp campaigns, e-communication edits, allocation declines, customs details, hardship charging, and report pulling.
- Contact members by phone and email to handle general needs and requests and update account information.
- Assist with Member Bash and other member events, with occasional travel.
- Perform other duties as required, including assisting other departments as needed.
