About The Position

WSP is seeking a Document Control Specialist to join their Project Controls team. This is a full-time position located in the WSP Boston Office. The role involves supporting the Document Control Manager and Team in maintaining a document management system for contract and project documents, ensuring policies and procedures are followed, and implementing efficient work-flow processes. The specialist will work within the existing Electronic Document Management System (EDMS), provide document management support to the entire project team, and handle tasks such as retrieving files, uploading/downloading files, managing document naming conventions, numbering, assigning, and distribution. They will also process incoming/outgoing documentation, maintain electronic record files in good order to comply with contractual requirements, and be familiar with Submittal and RFI Packages Procedure and Processes. Collaboration with project department leads to ensure timely processing of documentation is also a key responsibility.

Requirements

  • Bachelor's Degree or equivalent experience
  • 3-5 years of project experience in a Document Control or similar role, working in transportation infrastructure development or the construction industry.
  • Must have experience with Microsoft Office
  • Excellent organization, coordination, and prioritizing skills.
  • Strong reading, comprehension, and written retention skills.
  • Exhibit good problem solving skills and superior attention to details.
  • Exceptional client relations and customer service skills.
  • Energetic, self-motivated, and quick to learn with a focus on continuous improvement.
  • Ability to work in a team or independently in a multi-disciplinary team environment.
  • Maintain confidentiality at all times.
  • Proven track record of upholding workplace safety and ability to abide by WSP’s health, safety and drug/alcohol and harassment policies.

Nice To Haves

  • Experience with SharePoint, Procore, InEight, eBuilder, Bluebeam and Microsoft 365 is preferred.

Responsibilities

  • Support the Document Control Manager and Document Control Team to maintain a document management system for contract documents and project documents.
  • Work with the Document Control Manager and Document Control Team to ensure policies and procedures are being followed.
  • Help implement an efficient work-flow process, monitor daily activity, and implement modifications.
  • Work within the existing Electronic Document Management System (EDMS).
  • Provide Document Management support to the entire project team.
  • Retrieve files, Upload / Download files, Manage Document Naming Convention, numbering, assigning, and distribution.
