About The Position

As a Document Control Technician Apprentice in the Airport Authority’s Apprentice Employment Program, you will have the opportunity to gain the experience and training that can lead to becoming an Airport Administration Document Control Technician. This is a non-career, term job. Serves in Airport Administration at Washington Dulles International Airport (IAD) or Ronald Reagan Washington National Airport (DCA). Supports document control, contract administration, records management, and administrative functions under the guidance of senior staff. Assists with document workflows, maintains organized records, and contributes to compliance and operational efficiency across the department.

Requirements

  • Some experience in clerical, administrative support, or document-related work (internship, part-time, or academic experience acceptable).
  • Basic understanding of document organization, file management, or administrative processes.
  • Strong attention to detail and organizational skills.
  • Ability to learn and follow established procedures and workflows.
  • Ability to communicate effectively, both orally and in writing.
  • Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to handle sensitive information with discretion.

Nice To Haves

  • Exposure to document control, records management, or contract administration environments.
  • Familiarity with SharePoint or similar document management systems.
  • Experience in a professional office or customer service environment.
  • Interest in developing skills in contract administration, compliance, or records management.
  • Current enrollment in or recent completion of a college or technical program.

Responsibilities

  • Assists in coordinating workflow of contractual documentation, including contracts, agreements, permits, leases, and official correspondence, while gaining familiarity with contract lifecycle and approval processes.
  • Supports the routing, tracking, and logging of documents using established systems and processes, and learns to use document management and workflow tracking tools.
  • Maintains organized contract files, including version history and executed documents.
  • Applies established naming conventions and maintains structured electronic and physical filing systems.
  • Assists in preparing, editing, proofreading, and distributing documents such as reports, manuals, drawings, and correspondence.
  • Responds to routine document-related inquiries and assists staff with document retrieval and searches.
  • Tracks incoming and outgoing documents and helps monitor workflow progress to support timely approvals.
  • Assists in routing documents for internal review and signature and follows up as directed.
  • Performs basic quality checks to ensure documents are complete and properly formatted prior to routing or filing.
  • Maintains confidentiality and ensures proper handling of sensitive information.
  • Supports audit preparation by gathering and organizing requested documentation.
  • Assists in creating, maintaining, and archiving records in accordance with established retention policies.
  • Supports organization of legacy files and project documentation, including drawings and manuals.
  • Assists with the management of work permit files and construction-related documentation.
  • Assist staff with document submission and tracking procedures as needed.
  • Answers phones, greets visitors, and directs inquiries appropriately.
  • Assists with scheduling meetings, maintaining calendars, and preparing meeting materials or notes.
  • Supports the preparation and distribution of reports and departmental communications.
  • Assists with office operations, including mail distribution, supply inventory, and basic administrative tasks.
  • Performs other duties as assigned.
