About The Position

The Document Control Specialist will be responsible for preparing, processing, and publishing a variety of documents, including classified and unclassified meeting minutes, briefings, technical reports, specifications, and summaries. This role involves ensuring documents meet predetermined standards of style and accuracy, managing classified material according to strict security protocols, and collaborating with authors and internal departments to meet deadlines. The specialist will also provide status updates, publish documents for distribution, and perform administrative duties as assigned.

Requirements

  • BS with 5-7 years of experience, MS with 3-5 years of experience or PhD with 0-2 years. HS diploma with 8-10 years of related professional experience
  • Experience in handling and formatting classified documents
  • Work independently within a team environment
  • Detail-oriented with excellent organizational and communication skills
  • Experience using MS Office and Adobe Acrobat
  • Must possess and maintain an active DoD Top Secret clearance with the ability to obtain a DOE Q clearance

Nice To Haves

  • A bachelor’s degree and at least 5+ years of related professional experience
  • Technical writing/editing experience
  • Have experience using MS SharePoint, FrameMaker
  • Advanced experience with MS Word using styles and templates
  • Experience working in a classified environment and with security-related operations
  • Have experience handling Department of Energy classified documents
  • Collaborate in a team environment to gain efficiencies and improve process flow, as well as develop new services

Responsibilities

  • Prepare, process, and publish classified and unclassified program meeting minutes, briefings, technical reports, specifications, and summaries.
  • Review documents for spelling, punctuation, syntax, and clarity.
  • Revise documents to meet predetermined standards of style and accuracy.
  • Schedule and conduct peer reviews.
  • Ensure classified material is marked and protected at the appropriate level and category, and all handling of the classified material is tracked and documented.
  • Schedule Security reviews for classified documents.
  • Collaborate with authors on suggested updates/improvements to documents.
  • Provide status updates when the document meets specific milestones as it progresses through its workflow.
  • Publish documents to PDF for distribution to other organizations via agreed upon methods.
  • Coordinate and collaborate with other internal departments throughout the document management process to meet internal and external deadlines.
  • Organize, prioritize, and track to completion each project assigned.
  • Provide status reports on current tasking.
  • Follow Security procedures and document control requirements to ensure the proper handling, marking, and tracking of classified information at all times between various closed area vaults and GSA approved safes.
  • Track and perform data uploads to and downloads from closed systems, to include trusted downloads.
  • Conduct an annual classified inventory of the department’s classified holdings.
  • Provide meeting support to include: assisting with food and beverage set-up and clean-up, and providing assistance to the meeting POC as required during the meeting.
  • Collaborate and contribute to the overall effectiveness of the Business Services team.
  • Perform other administrative duties as assigned.
