About The Position

As a Document Control Specialist at Somacis, you will be a pivotal member of our team, ensuring the integrity, precision, and accessibility of all company documents and records. Your role will encompass the meticulous organization, secure storage, efficient retrieval, and precise distribution of various documents, all while upholding compliance with industry regulations and internal protocols.

Requirements

  • Ability to work independently and collaboratively within a team.
  • High school graduate or GED at a minimum with a minimum of 3 years equivalent work experience.
  • Demonstrated problem-solving abilities and a proactive approach to tasks.
  • Exceptional communication and interpersonal skills, with the ability to interface with engineers and leadership team.
  • Exercise a high degree of discretion in handling sensitive information.
  • Proficiency in document management system software and tools (e.g., Documentum, SharePoint, or similar systems).
  • Strong attention to detail, formatting, indexing, and exceptional organizational skills.
  • Documentation auditing skills and compliance tracking.
  • Must be a 'U.S. Person' as defined by 22 C.F.R. § 120.62 (U.S. Citizen, lawful permanent resident, refugee, or asylee).

Nice To Haves

  • Bachelor’s degree preferred
  • Knowledge of industrial regulations and quality standards (e.g., ISO/AS9100 Standards, IPC Standards, etc.) is advantageous.
  • Previous experience in document control or a related role is preferred.

Responsibilities

  • Collaborate in the creation, revision, filing, and maintaining of company documents, encompassing policies, procedures, manuals, technical documentation, standard operating procedures, incident reports, CAPAs, and complaints.
  • Guarantee accurate document naming, versioning, and categorization.
  • Ensures all documents are properly labeled, version-controlled, and archived according to company standards.
  • Maintain, organize, and track both physical and digital documents using the quality management system.
  • Conduct routine quality assessments on documents to verify accuracy, completeness, and adherence to regulatory and internal standards.
  • Promptly identify and rectify discrepancies or errors in documents.
  • Regulate the distribution of documents to authorized personnel, ensuring confidentiality as required.
  • Guarantee employees have access to the most current versions of pertinent documents.
  • Support the change control process by monitoring document revisions and ensuring relevant stakeholders are promptly notified of updates.
  • Collaborate with various departments to implement document changes efficiently.
  • Oversee the retention and disposal of documents in accordance with company policies and legal requirements.
  • Maintain a comprehensive record of document archiving and destruction activities.
  • Assist in the maintenance of training records and documentation within the Quality Management System.
  • Support audits and inspections by providing request documentation in a timely manner.
