About The Position

The Ada County Clerk’s Office is seeking a Domestic Civil Support Deputy Court Clerk to perform clerical and support functions related to the court system. This role involves training in File and Serve, Odyssey (a web-based court case management system), and Customer Service Phone Support. Responsibilities include monitoring databases, processing confidential documents, scheduling hearings, preparing and distributing official documents, implementing court policies, and providing phone support. This is considered an advanced Civil Support Clerk position due to the complexity, time-sensitivity, volume of filings, communication scope, and variety of tasks associated with family law cases such as divorces, custody, paternity, child support, and civil protection orders. The incumbent is expected to embody the Clerk's mission of service and trust through kindness, joy, innovation, transparency, and a focus on core responsibilities and team support.

Requirements

  • High school diploma or equivalent.
  • Skill in the operation of computers, including familiarity with database applications.
  • Skill in coordinating and prioritizing multiple requests.
  • Ability to review documents for accuracy, completeness, and compliance.
  • Ability to ensure effective and adequate flow of information with relevant stakeholders.
  • Ability to type documents and correspondence with a high degree of accuracy.
  • Ability to understand and follow verbal and written directions.
  • Ability to communicate verbally and in writing.
  • Ability to maintain confidentiality.
  • Ability to maintain harmonious working relationships with other employees and the public.

Nice To Haves

  • Knowledge of legal procedures, documents, and terminology preferred.

Responsibilities

  • Process all types of cases and documents presented to court, handling a high volume of sensitive casework.
  • Administer database management for specific areas of law, maintaining a high degree of accuracy and attention to detail.
  • Process Civil Protection Orders on a daily basis, maintaining strict court timelines.
  • Communicate extensively and effectively with in-court clerks, in-court supervisors, law enforcement agencies, and judges for the carrying out of sensitive and timely court proceedings.
  • Create case files, perform data entry, maintain files and other records.
  • Review documents presented for compliance to standards.
  • Set hearing dates and perform duties related to scheduling and calendaring.
  • Explain policies and procedures pursuant to requests of the public, attorneys, and other officials and departments.
  • Provide phone support to customers.
  • Operate office equipment.
  • Research records requests.
  • Sort, stamp, record and file a wide variety of legal and judicial materials.
  • Read and route incoming mail and assemble files and other materials to facilitate reply.
  • Respond to correspondence.
  • Maintain a high level of confidentiality.
  • Receive and process paper filings, including on-site and in-person processing.
  • Facilitate adherence of business operating hours and court schedules, including arriving punctually and on time for work.
  • Cross train in other areas to perform the work of others for vacations, illness, etc.
  • Perform related functions as required.
