Under general supervision, provides customer service to the public by processing payments for citations, fines, fees, and court costs, sets court dates, processes bonds, and answers the telephone, etc. This role involves providing customer service at the Court Clerk’s window and handling online inquiries by informing clients of the fine amounts, processing dismissals, scheduling court dates, and managing requests for driving safety courses and deferred disposition. The position also involves collecting court costs, fines, fees, and bond payments, reconciling all transactions from the cashier window, and accurately posting payments to citations in accordance with established policies and procedures. Additionally, it includes processing phone, internet and mail requests for driver safety course, deferred disposition, payment of fines, attorney requests, and bond processing. The role requires monitoring and maintaining control of court dockets to prevent overload, issuing jury summons, monitoring jurors, notifying defendants and attorneys of cases statuses, and issuing witness notifications. Updating statuses and processing case flow in court case management and scanning documents into imaging systems are also key functions. The position involves opening and distributing mail to the appropriate personnel as well as transcribing data from source material to be keyed into the case management system. Assisting in the process of issuing warrants for arrests on Class C Misdemeanor cases, processing incoming motions, discoveries, expunctions, and appeals are also part of the responsibilities. Accurately applying payments, daily balancing cash drawers, and preparing deposits of considerable amounts of money daily are critical. The role provides courtroom assistance during hearings and trials, generates complaints, prepares summons, subpoenas, and processes appropriate paperwork for court dockets. Court collections duties include processing extensions as prescribed by the Presiding Judge, providing past due notifications to defendants by email, mail, and phone, collecting financial assessment forms, and setting defendants on appropriate court dockets as required. Reviewing cases with bonds to determine monies needs to be applied or reviewed for refund, and reviewing documents presented to the court for authenticity, accuracy and appropriate judicial action are also required. Monitoring cases for compliance, processing cases in accordance with legal requirements, and preparing applicable documentation for judges and prosecutors are essential. Processing Time Served that has been granted by the Judge and entering traffic, parking and criminal misdemeanor cases into the computer system are also part of the duties. Finally, reviewing and proofreading court documents accurately is required. The role also follows established standard operating procedures and/or policies.
