About The Position

We are seeking a full-time, in-office Dealer Relations Coordinator to support our dealer sales team. This role involves customer relationship management and office administration, working closely with sales and administrative teams. The ideal candidate is customer-focused, a proactive problem-solver, team-oriented, an analytical negotiator, and curious about the industry and service offerings.

Requirements

  • High School diploma or equivalent
  • 1-2 years of related experience in a customer service or administrative capacity, ideally in the automotive industry
  • Tech-savvy and comfortable using Google Suite
  • Effective customer relations, communication, and interpersonal skills

Nice To Haves

  • Prior experience working in automotive remarketing is preferred
  • Prior experience with sales management tracking databases, such as Salesforce.com
  • Experience with AMS, VTrace, and other OPENLANE systems
  • Demonstrated ability to learn, retain and articulate product-related information
  • Bilingual in English and French

Responsibilities

  • Act as a liaison between all VLC departments, resolve customer concerns effectively, and educate customers on our systems and services.
  • Use OPENLANE’s CRM to log calls and run reports.
  • Handle all auction-day duties, including assisting with lane placement and performing all tasks related to auction run lists.
  • Ensure ancillary services like transport are completed and monitor on-ground inventory to provide marketing recommendations.
  • Assist in the resolution of "If Bids", facilitate the seller cheque process, and ensure all reserve prices and declarations are accurate.
  • Work with the dealer sales team to ensure proper marketing of inventory and with dealer registration to assist with customer sign-ups and information changes.
  • Handle clerical and numerical data processing, monitor VIP customer performance, and track local competition to recommend competitive strategies.
