About The Position

Physicians East, P.A. is seeking an employee with exceptional interpersonal communication skills and the ability to create a favorable impression for the organization to all staff, patients, and the public. The ideal candidate will have a strong sense of team commitment when working with CT Technologists, serving as a bridge in communication between Administrative Staff and technologists. This role specializes in a variety of clerical duties that directly impact the efficiency of the CT department.

Requirements

  • High School Diploma or Equivalent
  • Medical office experience required
  • Computer experience required
  • Must have strong software skills.
  • Demonstrated proficiency with software applications such as NextGen, Centricity and/or related EMR products.

Nice To Haves

  • Familiarity with diagnostic orders/testing preferred.

Responsibilities

  • Works the hours of 9am-2pm daily Monday – Friday.
  • Answers telephone, screens calls, takes messages, and documents information. Answers questions regarding patient appointments and testing.
  • Coordinates and assists diagnostic scheduling department with scheduling and rescheduling patient CT appointments. Helps to determine the availability of work-in slots for STAT testing requests. Relays necessary messages to clinical and administrative teams. Maintains and updates current information on CT schedule.
  • Initiates insurance pre-authorization requests with the Managed Care Department. Follows through process to ensure all testing has been authorized/approved. Ensures insurance waivers are available and signed by patients upon check-in at the Radiology reception desk, as appropriate.
  • Provides testing preparation instructions to patients. Verifies patient allergies; if allergic to contrast, ensures that the patient has been given instructions and meds for pre-medication prior to testing.
  • Welcomes patients for CT exams at Radiology desk, provides oral contrast drink and consent forms to patients that need them. Answers questions appropriately. Ensures comfort of CT patients while they are waiting.
  • Ensures all provider orders for labs and imaging have been appropriately ordered. Ensures applicable pre-testing labs are complete within appropriate time frame.
  • Enters all CT Low Dose Lung Screening bi-rad and follow up codes in Omnicare. Prints and mails patient notification result letters.
  • Responsible for scheduling Low Dose follow up scans and keeping track of patients that do not return for follow up appointments.
  • Ensures CT Imaging reports are signed and routed appropriately to the ordering providers, following specific protocols for internal and external ordering providers.
  • Covers Radiology Coordinator for lunch daily and works Radiology reception desk in their absence.
  • Maintains office supply inventory for CT Department.
  • Adheres to department and company policies.
  • Maintains confidentiality at all times.
  • Attends meetings as required.
  • Performs related work as assigned.
