We are seeking a highly organized, dynamic, and proactive department coordinator (Administrative Assistant) to join our team in Grid Strategy and Solutions. We hope to find someone that can partner across the team and help us raise the bar! This role involves managing a wide range of administrative tasks, including timekeeping, calendar management, expense and invoice management, event planning, project management, and general department coordination.

Requirements

  • High school diploma or equivalent
  • 5+ years as an administrative assistant, 2+ years as a project coordinator / assistant project manager or similar, or bachelor’s degrees in data, management systems, project management, business management, engineering or similar
  • Valid drivers license
  • Proven experience as an administrative assistant or in a similar role
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong experience in managing (large and small) meeting planning, logistics, and day-of activities
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • Attention to detail and problem-solving skills
  • Ability to work independently and as part of a team
  • Experience in a fast-paced environment
  • Experience with management of supply chain needs (e.g., invoice reconciler, SOWs, POs, etc.)
  • High level of confidentiality, positivity, professionalism, and flexibility

Nice To Haves

  • Associate’s degree or higher
  • Experience in PowerPoint and project management

Responsibilities

  • Respond to requests, manage calendars, manage emails, schedule meetings, and handle correspondences.
  • Handle confidential and sensitive information with discretion.
  • Independently schedule appointments, review invitees, collect materials, and prepare Directors for meetings.
  • Arrange complex travel plans and itineraries for management team, including booking flights, accommodations, and transportation.
  • Compile documents for travel-related meetings.
  • Process and manage timekeeping and expenses for leadership team.
  • Support the arrangement of events or meetings by arranging for facilities and caterers, issuing information or invitations, coordinating speakers, and managing event budgets. This includes logistics setup, meal planning, and day-of needs, as needed.
  • Prepare and edit documents, spreadsheets, reports, and presentations.
  • Summarize meeting minutes, track action items, and support project management efforts.
  • Gather and disseminate information as needed.
  • Support strategic project development, tracking, and implementation across the department.
  • Perform duties as invoice reconciler, manage purchase orders, and support supply chain requests.
  • Support overall budget efforts – including capturing current spend in excel, generating reports from excel, and gathering information from team for current and future spend.
  • Maintain and organize files and records, both electronic and physical.
  • Manage incoming and outgoing mail and packages.
  • Order and maintain office supplies and equipment.
  • Provide support to other team members as needed and handle special projects as requested.
