About The Position

The Corporate Security & Facilities Coordinator is responsible for supporting the daily operations, safety, security, appearance, and functionality of the corporate office environment. This position serves as a key point of contact for facilities support, office services, mail and package distribution, workplace readiness, and access control. The Coordinator helps ensure a safe, organized, and professional experience for employees, executives, visitors, and vendors while providing operational support across various business functions. The ideal candidate is dependable, highly organized, service-oriented, and capable of interacting professionally with employees at all levels of the organization, including executive leadership. Requirements

  • High school diploma or equivalent required.
  • 2+ years of experience in office operations, facilities coordination, security, hospitality, administrative support, or a related field preferred.
  • Valid driver's license with a clean driving record.
  • Strong organizational, communication, and customer service skills.
  • Basic proficiency with Microsoft Office applications.
  • Ability to work independently and manage multiple priorities.
  • Demonstrated professionalism and strong interpersonal skills.
  • Ability to interact effectively with executive leadership and employees at all levels.
  • Strong customer service mindset and commitment to employee support.
  • Exceptional discretion when handling confidential information.
  • Strong attention to detail, reliability, and sound judgment.
  • Ability to identify and appropriately respond to safety or security concerns.
  • Ability to stand, walk, and move throughout the corporate office as needed.
  • Ability to lift and carry packages and office supplies up to 50 pounds.
  • Ability to operate company vehicles for authorized business purposes.

Responsibilities

  • Serve as a primary resource for office operations and workplace support within the corporate headquarters environment.
  • Coordinate service, maintenance, and repairs for office equipment including copiers, printers, coffee machines, and water dispensers.
  • Coordinate office service vendors and facility maintenance providers.
  • Assist with office meetings, events, and executive functions as needed.
  • Maintain oversight of company vehicles to ensure they remain clean, presentable, serviced, and in good operating condition.
  • Coordinate preventive maintenance, inspections, repairs, fueling, and detailing services.
  • Maintain records and documentation for assigned corporate assets and vehicles.
  • Report and coordinate resolution of vehicle or equipment issues in a timely manner.
  • Welcome and direct visitors while ensuring compliance with company security procedures.
  • Monitor access to employee-only areas and report suspicious or unauthorized activity.
  • Assist with visitor management and badge/access control procedures.
  • Support emergency preparedness and workplace safety initiatives.
  • Conduct regular walkthroughs to identify security, safety, or facility concerns.
  • Provide general administrative assistance and operational support when needed.
  • Assist with special projects, office moves, and organizational initiatives.
  • Following successful training and demonstrated trustworthiness, perform authorized transportation assignments, pickups, deliveries, and executive support requests.
  • Maintain the highest level of professionalism, discretion, and confidentiality when supporting leadership and sensitive business matters.
