About The Position

The Corporate Office Receptionist serves as the first point of contact for visitors, callers, vendors, community partners, and staff at the Corporate Office of Central North Alabama Health Services, Inc. (CNAHSI). This position provides professional front desk coverage, administrative support, call routing, visitor assistance, and general office coordination while maintaining confidentiality, professionalism, and excellent customer service. The ideal candidate is dependable, organized, courteous, and committed to supporting the mission of providing accessible, high-quality health care to the community.

Requirements

  • High school diploma or GED required.
  • Proficiency with Microsoft Office, email, multiline phone systems, scanners, copiers, and general office equipment required.
  • Proficient keyboarding skills with the ability to type at least 45 words per minute accurately and efficiently.
  • Ability to communicate clearly and professionally in person, by phone, and in writing.
  • Ability to manage multiple priorities, remain calm under pressure, and maintain attention to detail.
  • Dependable attendance, punctuality, and professional appearance required.
  • Proof of negative TB skin test performed within the past 12 months or negative chest x-ray and no evidence of symptoms or completion of treatment.
  • Proof of Annual Flu vaccination is required.
  • A physical will be required if hired.

Nice To Haves

  • Minimum of one year of receptionist, clerical, administrative, customer service, or front office experience preferred
  • Experience in a health care, community health, nonprofit, or professional office setting preferred.
  • Basic knowledge of HIPAA and confidentiality requirements preferred.
  • Bilingual ability is a plus but not required.

Responsibilities

  • Greet visitors, patients, vendors, applicants, board members, and community partners in a professional, respectful, and welcoming manner.
  • Answer, screen, and route incoming calls using proper telephone etiquette and timely follow-through.
  • Receive and relay messages accurately to appropriate departments or staff members.
  • Monitor the reception area and maintain a clean, organized, and professional front office environment.
  • Assist with visitor sign-in procedures and notify appropriate staff of guest arrivals.
  • Receive, sort, and distribute incoming mail, packages, deliveries, and interoffice correspondence.
  • Provide general clerical support, including filing, copying, scanning, faxing, data entry, and document preparation.
  • Support corporate office departments with administrative tasks as assigned, including Human Resources, Administration, Compliance, Finance, Operations, or other departments.
  • Maintain confidentiality of patient, employee, vendor, and organizational information in accordance with HIPAA, privacy, and organizational policies.
  • Assist with scheduling meetings, preparing conference rooms, and supporting office events as needed.
  • Direct inquiries to the appropriate clinic, department, or staff member while demonstrating knowledge of organizational services and locations.
  • Follow established safety, security, compliance, and emergency procedures.
  • Demonstrate excellent customer service, cultural sensitivity, and professionalism when interacting with individuals from diverse backgrounds.
  • Perform other related duties as assigned
