Requirements

  • Associate Degree or equivalent combination of education and experience.
  • Knowledge of HVAC parts identification and lookup processes.
  • Proficiency in Microsoft Office Suite.
  • Strong written and verbal communication skills in both French and English.
  • Excellent organizational skills and attention to detail.

Nice To Haves

  • HVAC industry experience or technical background preferred.
  • Experience with Salesforce or other CRM/sales tracking platforms.

Responsibilities

  • Maintain the integrity of the local office database through accurate data entry, including sales forecasts, opportunity reports, opportunity reassignments, and data maintenance.
  • Verify service contracts and renewals and obtain purchase orders required for renewals.
  • Assist with preparing and processing change order proposals and booking related orders within the order management system.
  • Research and identify parts for Service & Repair (S&R) work with approval from the Technical Supervisor.
  • Support the preparation of customer proposals, PowerPoint presentations, correspondence, spreadsheets, bid bonds, certificates of insurance, payment and performance bonds, prequalification questionnaires, and contract documentation.
  • Establish and maintain project files and complete daily, weekly, and monthly project-related reports.
  • Coordinate meetings, trade shows, events, and other activities for the sales team.
  • Maintain the local bid list and assist with gathering and entering bid information.
  • Manage incoming and outgoing project correspondence, contract documents, submittals, drawings, and design documents.
  • Assist with project closeout activities to ensure timely and successful project completion.
  • Organize and maintain subcontractor documentation, including certificates of insurance and bonding documentation.
  • Coordinate Daikin Applied invoicing processes, subcontractor requirements, and project documentation to support revenue objectives.
  • Identify and establish procurement agreements with approved subcontractors and vendors.
  • Assist with developing simple project billing schedules and ensuring completion within established deadlines.
  • Prepare and process Requests for Information (RFIs), transmittal letters, customer welcome letters, project organizational charts, certified payroll documentation, and insurance-related forms.
