About The Position

The Facilities Coordinator will provide essential support to Site and/or Assistant Facility Managers across all operational activities, including maintenance and operations, accounting and finance, vendor oversight, equipment and supplies management, and occupancy services. This role is pivotal in proactively developing and maintaining strong client relationships while ensuring that expected service levels are consistently achieved. As a Subject Matter Expert, you will build positive client and vendor relationships while maintaining overall operations at the highest level, contributing directly to JLL's commitment to operational excellence and client satisfaction.

Requirements

  • Prior experience in facilities management, property management, hospitality, or related fields
  • Knowledge of local occupational health and safety requirements, critical facilities operations, and vendor management for specialized services
  • Understanding of basic technical aspects of property systems including computer room air-conditioning, chiller systems, fire protection systems, and mechanical and electrical systems
  • Proficiency in a range of information technology tools and platforms
  • Excellent communication, organization, and problem-solving skills with the ability to work independently with little supervision and effectively manage stressful situations
  • Ability to occasionally lift, push, and move items as required for job duties
  • Self-motivated, confident, energetic, and flexible with a demonstrated ability to foster teamwork, cooperation, and performance excellence.

Nice To Haves

  • Experience with CMMS (Computerized Maintenance Management Systems) platforms and work order management systems
  • Background in commercial real estate or corporate facilities environments
  • Knowledge of preventive maintenance programming and asset management principles
  • Experience coordinating vendor services and managing service provider relationships
  • Understanding of Service Level Agreements (SLAs), Key Performance Indicators (KPIs), and client satisfaction metrics
  • Proficiency using generative AI tools and conversational search platforms to draft communications, analyze data, and streamline administrative tasks
  • Oral and/or written interactions with tenants or external partners based outside Quebec (for example, service providers, law firms, peers, bankers, brokerage firms, credit analysis firms, credit agencies, non-French-speaking clients, etc.)

Responsibilities

  • Conduct daily facility walkthroughs to ensure a clean, organized, and fully operational office environment while identifying opportunities for improved service excellence and operational efficiency, actively supporting an environment of teamwork, cooperation, and performance excellence
  • Respond to all work orders in a timely manner, ensuring KPI compliance and exceptional customer service while scheduling and managing repairs, maintenance, and minor works through to completion with accurate tracking
  • Coordinate and manage vendor relationships, facilities staff, and service providers, providing clear direction to ensure excellent execution of work with minimal disruption to operations, and assist in procurement of vendors and services as required
  • Oversee site amenities including fitness facilities, food services, transportation, and office reconfigurations while serving as the primary point of contact for facility-related inquiries and support moves as required
  • Support event coordination, meeting and conference facilities, and provide logistical assistance during Moves, Adds, and Changes (MAC) activities while delivering additional support services including reception, guest assistance, mail services, and office supplies management
  • Maintain accurate records and official documentation for the site including emergency response plans, evacuation procedures, environmental health and safety protocols, building operations, and web pages where applicable
  • Coordinate landlord relations, manage building access passes, provide safety and security support, and ensure all building procedures and performance measures are maintained while complying with all client contract requirements.
