Construction Administrator

Rain For Rent•Bakersfield, CA
•$80,000 - $95,000•Onsite

About The Position

The Construction Administrator protects the commercial integrity of qualifying projects from estimate and proposal development through contract formation, execution, billing, and closeout. The role provides high-volume commercial oversight by comparing customer contracts with Rain for Rent proposals and internal approvals, preserving estimate intent and margins, establishing downstream commercial and billing requirements, and elevating unresolved exposure to appropriate approval levels. The position partners with Estimating, Sales, Contracts, Credit, Purchasing, Accounts Payable, Finance, Branch Administration, Project Management, and Operations to ensure executed deals reflect the intended sale. The role serves as a commercial-readiness and contract-administration gateway for qualifying projects. It reviews contractual and commercial details, develops project-specific controls and strategies, creates initial post-award Schedules of Values, and conducts recurring commercial-risk reviews, exposure reporting, and compliance audits. It also identifies projects requiring executive approval and prepares decision-ready summaries with exposure, alternatives, functional positions, recommended actions, and required approvals. The position requires regular onsite presence at Rain for Rent offices and branch locations. The work environment includes indoor office settings and outdoor changing weather conditions, with periodic exposure to moving mechanical parts, fumes or airborne particles, extreme cold and heat, vibration, and electrical-shock risk. Noise is usually moderate.

Requirements

  • Associate's degree in Construction Management, Business Administration, Engineering, Accounting, Finance, or a related field, or an equivalent combination of education and experience.
  • At least five years of progressively responsible experience in construction administration, project controls, estimating, contract administration, procurement, project management, branch administration, vendor or subcontractor agreements, job costing, operations support, or commercial project delivery.
  • Ability to perform each essential duty satisfactorily.
  • Ability to model accountability, adaptability, emotional intelligence, and continuous learning while fostering a culture of personal and professional growth.

Nice To Haves

  • Bachelor's degree in Construction Management, Business Administration, Engineering, Accounting, Finance, or a related field.
  • Experience in industrial construction, mechanical contracting, specialty contracting, industrial services, or rental equipment.

Responsibilities

  • Serve as the commercial-readiness and contract-administration gateway for qualifying projects, tailoring the level of review to contract structure, risk, value, third-party exposure, compliance obligations, billing requirements, and approval needs.
  • Compare rough-order-of-magnitude pricing, estimates, proposals, customer contracts, purchase orders, exhibits, amendments, and internal approvals to identify discrepancies in scope, pricing, assumptions, exclusions, delivery method, billing, payment terms, retention, risk allocation, schedule obligations, and compliance requirements.
  • Prepare estimate-to-contract variance reviews and Commercial Basis Memoranda for qualifying projects, preserving estimate visibility and documenting a baseline for project turnover and later performance review.
  • Validate sales and use tax, fuel surcharges, environmental fees, administrative fees, and other recoverable costs; determine whether costs are separately billed or embedded in rates and communicate approved coding, pricing, and billing treatment.
  • Develop pre-contract commercial strategies for temporary labor, subcontracted work, re-rented equipment, specialty services, and other third-party exposure; ensure proposals clearly state scope, pricing, assumptions, exclusions, markups, and recovery provisions.
  • Partner with Contracts and Purchasing to obtain project-specific flow-down and risk-mitigation requirements and apply approved downstream documents to vendors without duplicating or undermining purchasing relationships or master agreements.
  • Create the initial post-award Schedule of Values and align it with the estimate, executed contract, billing requirements, cost codes, taxes, fee-recovery methods, retention, payment applications, change-order structure, and expected margins.
  • Lead recurring commercial-risk reviews, exposure reporting, and contract-compliance audits for qualifying projects.
  • Track recurring failure modes and recommend improvements to proposal language, estimate assumptions, contract controls, purchasing documents, billing practices, and commercial playbooks.
  • Identify projects requiring executive approval or the highest-order commercial improvement and prepare decision-ready summaries showing exposure, alternatives, functional positions, recommended action, and required approval.
  • Perform other duties as assigned.
