About The Position

This internship provides practical experience in event administration and coordination. The intern will offer daily administrative support to the Conference Services department, assisting with resort event management. Key duties include handling interdepartmental communications, managing files, and utilizing conference services software to process Banquet Event Orders (BEOs) for various groups. Maintaining professionalism and confidentiality is crucial in this role.

Requirements

  • Must be currently enrolled at a University, College, or Community College and receive college credit for the Internship.
  • Proficient English skills (reading, writing, speaking, grammar, etc.).
  • Excellent computer skills, including Microsoft Word, Outlook, PowerPoint, and Excel.
  • Secretarial skills such as telephone skills, personal grooming, appointment scheduling, filing, and accountability for numeric calculations are paramount.
  • Must exemplify “can do” attitude with clients and fellow staff members.
  • A willingness to learn and communicate efficiently utilizing written and verbal skills.

Nice To Haves

  • Previous secretarial experience in a sales/marketing/catering environment is helpful, but not required.

Responsibilities

  • Provide daily administrative support to the Conference Services department.
  • Manage resort events smoothly.
  • Handle interdepartmental communications.
  • Assist with file management.
  • Process Banquet Event Orders (BEOs) for corporate groups, member events, and golf packages using conference services software.
  • Maintain professionalism and confidentiality.
  • Serve as the Resort's contact for coordination and creation of BEOs and Contracts for Local, in conjunction with groups, and Member Groups.
  • Converse and negotiate with clients professionally.
  • Compose detailed reports (daily, weekly, monthly, and annually).
  • Handle daily correspondence, including emails, memos, and letters, ensuring timely completion to meet deadlines.
  • Introduce systems, letter writing, and organizational skills to enhance office performance.
  • Utilize secretarial skills such as telephone skills, personal grooming, letter composition, appointment scheduling, filing, and numeric calculations.
  • Maintain complete confidentiality regarding all aspects of the business.
  • Assist with or take on special projects, which may include client social functions or direct mail coordination.
  • Complete all assignments requested.
  • Follow proper grooming and dress standards.
  • Understand and abide by environmental practices of the resort.
  • Perform other duties as assigned.
  • Job shadow in other departments.
  • Attend bi-weekly intern meetings and committee meetings.
  • Complete internship projects.
  • Maintain an open line of communication with the supervisor.
  • Maintain good rapport with fellow employees and reflect a positive attitude.
  • Exemplify a “can do” attitude with clients and fellow staff members.
