About The Position

This internship provides practical experience in event administration and coordination. The intern will offer daily administrative support to the department, assisting with interdepartmental communications, file management, and processing Banquet Event Orders (BEOs) using conference services software. The role involves handling events for corporate groups, member events, and golf packages while maintaining professionalism and confidentiality.

Requirements

  • Must be currently enrolled at a University, College, or Community College and receive college credit for the Internship.
  • Proficient English skills (reading, writing, speaking, grammar, etc.).
  • Excellent computer skills, including Microsoft Word, Outlook, PowerPoint, and Excel.
  • Maintain complete confidentiality regarding all aspects of the business.
  • Maintain open line of communication with supervisor.
  • Good rapport with fellow employees and reflect positive attitude.
  • Secretarial skills such as telephone skills, personal grooming, appointment scheduling, filing, and accountability for numeric calculations are paramount.
  • Must exemplify “can do” attitude with clients and fellow staff members.
  • A willingness to learn and communicate efficiently utilizing written and verbal skills.
  • Must be able to pass a background investigation and drug screen as a condition of employment.

Nice To Haves

  • Previous secretarial experience in a sales/marketing/catering environment is helpful, but not required.

Responsibilities

  • Provide daily administrative support to the conference services department.
  • Manage interdepartmental communications.
  • Assist with file management.
  • Process Banquet Event Orders (BEOs) and contracts for various groups.
  • Communicate and negotiate professionally with clients.
  • Compose detailed reports (daily, weekly, monthly, annually).
  • Handle daily correspondence including emails, memos, and letters.
  • Introduce systems, letter writing, and organizational skills to enhance office performance.
  • Perform secretarial duties such as telephone communication, appointment scheduling, and filing.
  • Assist with or take on special projects, which may include client social functions or direct mail coordination.
  • Complete all assignments requested by supervisor.
  • Follow proper grooming and dress standards.
  • Understand and abide by the environmental practices of the resort.
  • Job shadow in other departments.
  • Attend bi-weekly intern meetings and committee meetings.
  • Complete internship projects.
