About The Position

The Clinic Business Representative Associate is the first point of contact for patients, providing a welcoming experience and accurate, efficient registration. The role greets patients at in-person appointments and supports them by phone, collecting demographic and financial information and entering it into the electronic medical record. The position is 1.0 FTE (80 hours per two-week pay period), with 8-hour day/evening shifts and no weekends.

Requirements

• Must be at least 18 years of age and have the education and/or experience needed to meet the required functional competencies listed in the job description.
• Minimum of 1 year of computer knowledge.

Nice To Haves

• High school diploma or GED.
• Experience with Microsoft Office products, including Word and Outlook.
• Customer service, clerical, or other business office environment experience.
• Knowledge of medical terminology.

Responsibilities

• Greet, welcome, and register patients in person or by phone.
• Use available tools, resources, and procedures to check patients in, including collecting demographic and insurance information, providing appointment-specific forms, and obtaining necessary documentation.
• Assist patients with telephone encounters.
• Identify key words that call for appropriate responses and use de-escalation techniques as needed.
• Direct patients to appointments or procedures.
• Collect co-pays and remaining balances.
• Obtain patient signatures as needed.
• Answer questions about financial assistance programs.
• Perform end-of-day reconciliation.
• Participate in prescription refill order processes when appropriate and within the scope of the position.
• Manage and organize patient care lobbies and provide other department support.
• Clean and disinfect lobby and check-in areas, wheelchairs, stairwells, door handles, clipboards, and elevator keys throughout the day.
• Unpack and restock supplies, file cabinets, and other clinic resources; make copies of documents as needed.
• May schedule appointments and assist with office communications, including answering and transferring calls, handling messages, and paging appropriate parties.
• Perform weekly downtime checks.
• Actively participate in staff meetings.
• Perform other duties as assigned.
