About The Position

The Client Service Representative (CSR) at Cobb Veterinary Clinic provides an exceptional experience to clients during every interaction. This role involves engaging clients, performing administrative tasks such as record maintenance and appointment tracking, managing reception (visitor and telephone), maintaining veterinary medical records, handling accounts, processing payments, data entry, word processing, and mail services. The CSR utilizes practical knowledge of practice processes, regulations governing visitors and patient treatment, and veterinary terminology to ensure excellent patient care and client experiences. Working hours are 7:45 am - 12:00 pm and 1:45 pm - 5:30 pm, Monday to Friday, with an optional rotating Friday off.

Requirements

• High school diploma or equivalent
• Practices OSHA safety techniques including proper PPE

Nice To Haves

• Previous veterinary experience preferred
• Client satisfaction references preferred
• Availability to work 4 Saturdays per year (quarterly)

Responsibilities

• Leads practice opening and closing procedures.
• Ensures all public areas are clean and presentable.
• Processes cash, checks, charge card payments, and credit account payments.
• Schedules appointments for the clinic.
• Assists in updating client/patient files.
• Prepares and sends client correspondence.
• Sends reminder notices and conducts re-calls to clients.
• Performs a backup of the computer system.
• Performs and oversees the posting of daily business.
• Welcomes clients and patients to the practice.
• Answers incoming telephone calls.
• Presents clients with medications, instructions, and take-home items.
• Handles emergency situations with care and patience.
• Addresses client concerns in a calm and appropriate manner.
