About The Position

The Proof of Insurance Advisory Specialist manages and verifies proof‑of‑insurance processes with a strong focus on accuracy, regulatory compliance, and exceptional client service for complex client programs. This role requires an active broker license to support client-facing activities and policy verification.

Requirements

  • Minimum 3 years in insurance administration, risk management, or certificate issuance
  • Active Property & Casualty broker license (or ability to obtain within 90 days)
  • Understanding of auto insurance policies, coverages, and endorsements
  • Awareness of regulations related to proof of insurance (e.g., state laws, ACORD standards)
  • Proficiency with policy administration systems, CRM tools, and MS Office (especially Excel)
  • Strong written and verbal abilities; able to simplify complex insurance concepts
  • Ability to build and maintain strong broker relationships
  • Commitment to proactive service, quick issue resolution, and client satisfaction
  • Ability to handle high-volume requests with accuracy and composure
  • Strong deadline management and documentation skills
  • Ability to identify risks and escalate appropriately

Nice To Haves

  • ACORD certification or familiarity with ACORD forms preferred
  • Bachelor’s degree, preferred
  • Experience working with lenders and project‑specific COI requirements
  • COI/ID card experience strongly preferred
  • Knowledge of lender-specific and project-based certificate standards
  • Familiarity with automated COI generation tools and e-signature platforms
  • Proven success by improving client service metrics and reducing response times

Responsibilities

  • Prepare, verify, and issue proof-of-insurance documents, including Certificates of Insurance (COIs), Auto ID cards (digital and physical) and other regulatory or lender-required proof of coverage
  • Enhance client service by serving as a trusted advisor across multiple touchpoints (phone, email, portal messaging)
  • Delivering professional, timely, and client-friendly communications
  • Validate policy details against internal systems and addressing variances
  • Collaborate with underwriting, billing, and policy administration teams to resolve discrepancies
  • Audit issued COIs to ensure accuracy and correct errors as needed
  • Maintain complete documentation, templates, standard language, audit trails and compliance checklists
  • Stay current on regulatory updates, industry trends, and client service expectations
  • Manage escalations related to complex client programs with a solutions-focused approach
