Requirements

  • One year as a Clerical Supervisor 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • One year as a Clerical Assistant 3 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • Two years of as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • An equivalent combination of experience and training.
  • You must be able to perform essential job functions.

Responsibilities

  • Lead clerical staff who handle merchandise orders and reports, license sales, artwork requests, and daily operations for public needs of the agency headquarters
  • Handle and distribute incoming mail and email as well as prepare outgoing responses and requested materials
  • Prepare, execute, and advise staff on contracts, purchase orders, bids, and work statements following Commonwealth purchasing procedures
  • Prepare the bureau’s annual budget for review and monitor expenditures to ensure all divisions are following their budgets
  • Order, receive, and stock bureau office supplies; and coordinate purchase, maintenance, and recordkeeping for office equipment
  • Support hiring steps and verify onboarding documents, ensure position descriptions and performance reviews are up-to-date, and submit timesheets
  • Coordinate the production of art, marketing, and informational materials; organize Commission contests and awards; and assist with events and sale of agency licenses as needed
