About The Position

This role provides clerical and administrative support that helps federal education programs operate smoothly across the state. The work ensures that program applications, reports, and records are processed correctly and shared with staff and school communities. As a Clerical Assistant 3, you will perform the following duties: Application Processing: Review federal program applications to check for completeness, eligibility, and required documentation. Grant Tracking: Monitor approval progress, prepare status reports, and respond to questions from local education agencies and the public. Monitoring Support: Prepare review letters, track corrective actions, and coordinate timelines with regional staff. Program Assistance: Organize materials for Schoolwide Programs, track submissions, and provide technical guidance to staff and applicants. Record Maintenance: Manage electronic and physical files, prepare correspondence, and generate reports from e-Grants. Administrative Duties: Timekeeping functions, process mail, support audit routing, handle travel paperwork, and schedule records.

Requirements

  • One year as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or One year of moderately complex clerical experience; or An equivalent combination of experience and training.
  • You must meet the PA residency requirement.
  • You must be able to perform essential job functions.

Nice To Haves

  • You may have the opportunity to work from home (telework) part-time. You will be required to report in-office on Tuesday each week.
  • In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania.
  • If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg.
