About The Position

As a Clerical Assistant 2 with the Department of State, Office of Notaries, Commissions and Legislation, you will help support the work that keeps vital records organized and accessible. This role gives you experience with customer service, document processing, and record maintenance. You will join a team that depends on strong attention to detail. This position provides clerical support that helps the bureau manage requests, records, and correspondence for notaries, commissions, and legislation. It involves assisting customers, preparing certifications, maintaining files, and supporting legislative processing.

Requirements

  • Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration)
  • Graduation from high school or an equivalent combination of experience and training
  • Ability to perform essential job functions

Responsibilities

  • Assist walk-in and telephone customers with questions and requests
  • Maintain updated files and desk manuals for policy and procedural changes
  • Handle certification and apostille requests and keep accurate logs of all activity
  • Record signed legislation, carry bills to the Governor’s Office, and maintain computer indexes
  • Assist with mailing commission certificates and maintain logs of appointments and related documents
  • Type letters and materials related to notaries, certifications, and apostilles
