About The Position

Become a Clerical Assistant 2 with the Pennsylvania State Police and help keep Troop D in New Castle, Pennsylvania operating efficiently. This job offers the chance to support station staff who serve the community every day. You will handle a variety of clerical tasks that keep information accurate and ensure smooth workflow. This is an excellent role for someone who enjoys steady, organized work in a mission-driven environment. This position provides clerical support to the Station Commander and station personnel to help maintain smooth administrative operations. The work ensures that reports, files, schedules, and communications are handled accurately and in line with department procedures.

Requirements

  • Six months as a Clerical Assistant 1 ( Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration ) ; or Graduation from high school; or An equivalent combination of experience and training.
  • Two years or more of experience using Microsoft Word and Excel.
  • Two years or more of experience with preparing and formatting various correspondence, forms, and reports.
  • Two years or more of experience proofreading and editing various types of materials to ensure grammatical correctness and completeness.
  • Two years or more of experience maintaining databases, spreadsheets, and logs.
  • Two years or more of experience ordering supplies and services.
  • Must be able to perform essential job functions.
  • Must pass a background investigation and meet Criminal Justice Information Services (CJIS) compliance requirements.

Responsibilities

  • Prepare and type correspondence and reports and proofread materials for accuracy and compliance with regulations
  • Transfer data from multiple types of reports into computerized formats and submit crime data while maintaining statistics
  • Order station supplies, handle purchasing card transactions, reconcile monthly records and route invoices as required
  • Prepare and update benefit forms for employees and forward completed documents for further processing
  • Maintain and organize files, update station reference materials and distribute documents according to department rules
  • Input approved schedules, create duty rosters and record call-offs and updates in the SAP Shift Planner
