About The Position

The Catering & Convention Services Manager is responsible for servicing group business and delivering a seamless, high-quality experience for meeting planners and attendees. This role serves as the primary liaison between Meeting Planners and the Hotel, overseeing all event planning and execution details including food & beverage, meeting space, room blocks, deposits, billing, and client communication. The Catering & Convention Services Manager is the on-site contact for assigned groups and works closely with hotel departments to ensure successful execution of all events. This role partners with the Director of Catering & Convention Services to achieve the hotel’s revenue, planner satisfaction, and food & beverage goals.

Requirements

  • A minimum of Two (2) years experience in Hotel Catering and/or Convention Services at a convention-focused, resort property or related experience in the hospitality industry.
  • Knowledge of Delphi or the Envision Sales & Catering system.
  • Demonstrate creativity and knowledge of food and beverage/events.
  • Must work well in stressful, high-pressure situations; maintain composure and objectivity under pressure.
  • Must possess highly developed verbal & written communication skills to frequently negotiate, convince, sell and influence other managerial personnel, hotel guest(s) and/or group clients.
  • Strong written and verbal communication skills with the ability to effectively communicate with clients, vendors, and internal departments.
  • Ability to manage multiple priorities while maintaining exceptional attention to detail and client service standards.
  • Ability to collaborate across teams and engage with Team Members at all levels.
  • Detail-oriented, well-organized, and adept at managing multiple projects simultaneously.
  • Proficient in Excel, Word, and other MS Office applications.
  • Have strong organizational skills with the capacity to meet strict deadlines.
  • High School Diploma or GED (required).
  • At least 21 years of age.

Nice To Haves

  • Basic understanding of audio-visual systems and event technology preferred.
  • Previous experience in a convention-focused resort environment preferred.

Responsibilities

  • Maintain strong client relationships and ensure that event specifications are communicated and executed for a successful meeting experience for planners and attendees, consistent with hotel and Hyatt standards.
  • Foster a collaborative, guest-centric approach while maintaining exceptional service standards throughout the event planning and execution process.
  • Creation and oversight of Event Orders, Resumes, Invoices, Event Diagrams, Fire Marshal approvals, and other required documents for all events.
  • Monitor and manage room blocks according to contract utilizing group history reports and information given by clients to maximize hotel revenue, making adjustments if necessary in partnership with Sales, Revenue, and Group Reservations.
  • Review sales contracts as well as other important information including room block cut off, special concessions, certificates of insurance, etc and validate with client once the file is turned over from Sales.
  • Accurately forecast group rooms and group food and beverage revenues for assigned group business, with a focus on upselling food and beverage and exceeding group’s food and beverage minimum.
  • Arrange and disseminate all details for the group client on the Event Orders, resume and Daily Detail Reports from Envision, including meeting set-up, food and beverage, guest room requirements, audio/visual, billing, outside activities, VIPs, special requests, and any other needs requested by the client or hotel.
  • Coordinates through proper hotel departments all arrangements needed by client via system reports and property policies and procedures/SOPs.
  • Lead and participate in pre- and post-convention meetings.
  • Participate in site visits and coordinate and lead pre-planning meetings for upcoming group business.
  • Provide feedback to all departments on client assessment of hotel performance.
  • Ability to perform month-end commentary and complete month-end reports as required.
  • Approach all encounters with guests and employees in an attentive, friendly, courteous and service-oriented manner.
  • Ensure changes are communicated timely to impacted departments/operations leaders.
  • Attend daily/weekly/monthly meetings and any other functions required by management.
  • Perform other duties as requested by Hotel Leadership.
