  • Strong organization, attention to detail, and follow-through.
  • Ability to pass a background check and obtain installation access.
  • Must possess or be able to obtain and maintain a SECRET security clearance.

Responsibilities

  • Request, collect, and compare vendor quotes for parts, materials, equipment, and services, and document the basis for each award.
  • Place calls and purchase orders against established BPAs for HVAC, electrical, plumbing, and general maintenance materials.
  • Track BPA ceilings, call limits, expiration dates, and spending; identify agreements that require renewal or modification.
  • Follow company procurement policy and applicable FAR/DFARS flow-downs for purchases outside existing BPAs.
  • Source parts for emergency and priority work orders to minimize system downtime.
  • Verify pricing, quantities, and delivery terms before releasing orders, and resolve vendor discrepancies.
  • Set up vendors in the purchasing/accounting system by collecting W-9s, insurance certificates, SAM.gov registration and small-business status, and banking/remittance details.
  • Maintain vendor master records and relationships with local and national suppliers, and identify qualified alternate and small-business sources.
  • Expedite late orders, coordinate deliveries and base access, and track vendor performance for price, lead time, and quality.
  • Track program purchase receipts and match them to purchase orders, work orders, and receiving documents.
  • Compile receipts and supporting documentation and submit them for customer billing on schedule.
  • Process vendor invoices, including three-way matching against purchase orders and receipts, resolving discrepancies, coding charges, and routing invoices for approval and payment.
  • Maintain complete purchase files, including requisitions, quotes, approvals, purchase orders, receipts, and invoices.
  • Track material spending against the program budget and report monthly to the PM; support government and internal audits.
  • Provide administrative support as needed, including program files and logs, timekeeping, onboarding paperwork, base access requests, training records, routine reports, and meeting scheduling.
