About The Position

The College of Arts and Sciences (CAS) is the intellectual hub of the University of Oregon, serving nearly two-thirds of all students. Home to more than 800 faculty across 50+ departments and programs in the humanities, natural sciences, and social sciences, CAS is a dynamic and interdisciplinary academic community. Our faculty and advisors work closely with students to develop critical thinking, analytical reasoning, and clear communication skills to address real-world challenges. CAS staff and managers are integral to this work, playing vital roles in supporting academic excellence and advancing the mission of both the College and the University. The College of Arts and Sciences Division of Administrative Services (CASDAS) provides administrative support and shared services to the Dean’s Office and Academic Support Units (ASUs) across the college. CASDAS is committed to delivering excellent customer service and developing effective processes that support college operations. Reporting to the Interim Senior Administrator for CAS Business Systems, the Business Workflow and Operations Coordinator supports operational effectiveness through the coordination of administrative processes, workflow improvements, and assigned projects that enhance service delivery across the College of Arts and Sciences. This position coordinates operational activities, develops and maintains documentation, procedures, forms, reports, and other administrative resources that support consistent business practices. The coordinator researches information, compiles and analyzes data, prepares reports, assists with process improvements, and provides guidance, training, and support to users across the college. Working collaboratively with college leadership, administrative units, and campus partners, this position serves as a resource for questions related to established processes and procedures, assists with identifying opportunities to improve efficiency, and supports the successful implementation of operational initiatives. The coordinator helps ensure administrative services are delivered accurately, consistently, and in alignment with college policies and practices. The Business Workflow and Operations Coordinator manages assigned projects and operational responsibilities with independence while receiving general direction from college leadership. This position contributes to continuous improvement efforts by evaluating processes, developing solutions, and supporting effective and customer-focused service delivery. This role is hybrid eligible.

Requirements

  • Three (3) years of office experience which included two (2) years at full performance level and experience generating documents
  • Lead work responsibility or coordination of office procedures.
  • Ability to organize and manage multiple assignments, priorities, and changing needs.
  • Ability to learn and effectively support business workflow systems, administrative technologies, and operational processes.
  • Ability to troubleshoot issues, analyze problems, and identify or recommend effective solutions and improvements.
  • Ability to communicate technical information clearly and provide responsive, customer-focused support to users with varying levels of technical expertise.
  • Ability to maintain accurate data, documentation, procedures, and operational resources with strong attention to detail.
  • Ability to work independently and collaboratively across departments and organizational levels, with a commitment to continuous improvement and service excellence.

Nice To Haves

  • Experience administering, maintaining, configuring, or implementing business systems, workflow platforms, databases, or similar technology solutions.
  • Experience developing or configuring workflows, forms, reports, dashboards, automations, or data collection tools.
  • Experience using Smartsheet, SharePoint, Microsoft 365, or comparable business productivity and workflow platforms.
  • Experience troubleshooting system or workflow issues and providing technical support to end users.
  • Experience developing user guides, procedures, training materials, or other system documentation.
  • Experience supporting administrative operations in higher education or another complex organization.
