About The Position

The Business Systems Analyst ensures ongoing improvement of the software applications forming the Electronic Patient Record and Hospital Information Systems; provides ongoing support to users; gathers and analyzes information regarding clinical workflows and business processes; configures and tests the system based on decisions; develops reports and dashboards; and participates in ongoing professional development. The initial primary function of this position will be to support the Integrated Treatment Centre (ITC) new approach to care. This role will contribute to advancing CHEO’s data and analytics objectives by developing actionable Epic reports that support real-time decision-making, enhance data literacy, and align with the organization’s unified Data & AI strategy.

Requirements

  • Criminal Record Check (Essential)
  • University Degree in a relevant field, Graduate certificate in Digital Health or similar program and/or experience and formal training combined with demonstrated performance (Essential)
  • Minimum of 2 years of relevant experience (Essential)
  • Ability to obtain Epic certification within 6 months from date of hire. (Essential)
  • Comprehensively use computer technology and equipment (Essential)
  • Strong time management and organizational skills, adjusting priorities as required (Essential)
  • Communicate effectively and concisely, both orally and in writing (Essential)
  • Strong problem-solving and analytical skills (Essential)
  • Deal effectively with internal and external stakeholders (Essential)
  • Working knowledge of applicable occupational health and safety legislation; general knowledge of corporate/departmental policies and procedures related to health and safety (Essential)
  • Advanced knowledge of writing SQL queries (Essential)
  • Advanced knowledge of designing and deploying BI visualization tools (e.g. Application reports/dashboards, MS Power BI, excel) (Essential)

Nice To Haves

  • Experience in a health-care environment – basic understanding of clinical workflows and terminology (Preferred)
  • Previous experience with Epic and/or Epic Cogito, Caboodle certification (Preferred)
  • Experience supporting and/or implementing moderately complex integration projects (Preferred)
  • Bilingualism (French/English) (Preferred)

Responsibilities

  • Confer with application users, operational managers and clinical leadership.
  • Determine unique and specific software requirements.
  • Analyze how new or enhanced features will impact current work processes and determine how it should be used.
  • Investigate end users' preferences while making system configuration decisions.
  • Analyze proposed changes to business processes to determine the changes on users and their information systems.
  • Perform in depth analysis of integrated workflows, data collection needs, and other technical considerations.
  • Evaluate proposed changes for their potential to offer improved patient care, lower operating costs and time found without creating risks for the hospital.
  • Develop and document specifications in conjunction with other Business Systems Analysts to ensure that the application will interact smoothly and efficiently in end-to-end processes.
  • Prioritize and implement requested changes to the system.
  • Configure software based on decisions and test software to ensure that it meets functional specifications.
  • Act as a resource for all system users to guide them in the effective use of the software application.
  • Respond to support calls and act as a troubleshooter, interpreting problems as perceived and explained by a wide range of users.
  • Work with the user to investigate the problem and identify a solution.
  • Deliver presentations and demonstrations related to the application to communicate the impact that a new or upgraded feature will have at various levels of the hospital.
  • Work with other report writers to design reports to enable system users to maximize the potential of the application as a management and patient care tool.
  • Maintain regular communication with vendor representatives and help vendor staff to better understand the hospital’s operational needs.
  • Support the training needs of potential users of the application including the efficient and effective use of the system and in new work processes.
  • Adapt instructional techniques to a wide variety of learning needs and degree of familiarity with computer systems.
  • Develop, maintain, and present training materials including comprehensive manuals for use by users.
  • Ensure accurate and detailed documentation concerning how and why decisions are made throughout the course of a project, systems design and development, and work process redesign.
  • Develop comprehensive documentation to describe and explain the intricate software and hardware configurations of the applications.
  • Document frequently asked questions for support documentation and clear standard operation procedures for common tasks.
  • Recommend and/or create policies governing the use of the application including new/revised work procedures for use in a department or on a hospital-wide basis.
  • Monitor applications to ensure that their full potential is being used to benefit the hospital and its patients.
  • Develop and present optimization recommendations to clinical and operational leadership.
  • Maintain and improve knowledge of health information technology and other work-related duties by attending courses, seminars, and in-service training.
  • Maintain and improve knowledge of the applications by attending vendor courses.
  • Demonstrate leadership and excellence by actively participating in user groups.
  • Share best practices with colleagues in other hospitals.
  • Maintain up-to-date knowledge of current hospital policies, practices, and procedures.
  • Perform work in accordance with the provisions of the Occupational Health and Safety Act and Regulations and all CHEO corporate/departmental policies and procedures related to Occupational Health and Safety.
  • Perform other related duties as assigned by supervisor.
