We are seeking a Benefits & Pension Specialist to manage the day-to-day administration of ROM’s pension and employee benefits programs. Reporting to the Senior Manager, Talent Initiatives, with a dotted line to the Assistant Vice President, Human Resources, this role plays a critical part in ensuring the accurate, compliant, and timely delivery of pension and benefits services. The successful candidate will work closely with HR, Payroll, Finance, and external providers to support employees and retirees, maintain data integrity, and ensure smooth program administration. This role requires strong attention to detail, discretion, and the ability to manage complex information in a confidential and fast-paced environment.

Requirements

  • A Bachelor’s degree in Business Administration, Commerce, or a related field, or an equivalent combination of education and experience
  • A minimum of five (5) years of experience in pension and benefits administration
  • Experience working with defined benefit pension plans
  • Strong attention to detail and accuracy when working with complex financial and employee data
  • Excellent organizational and time-management skills, with the ability to manage competing priorities
  • Strong interpersonal and communication skills, with the ability to interact effectively with stakeholders at all levels
  • Demonstrated ability to handle confidential and sensitive information with discretion
  • Strong problem-solving skills and a client-service mindset
  • Proficiency with Microsoft Office (Excel, Word, PowerPoint) and experience working with HRIS systems such as Dayforce or similar
  • Ability to work independently while contributing to a collaborative team environment
  • A proactive, adaptable, and solution-oriented approach to work

Nice To Haves

  • Professional certification such as CEBS and/or PPAC is an asset
  • French language skills are an asset

Responsibilities

  • Administer ROM’s pension program, including enrollments, retirements, terminations, status changes, and member communications
  • Maintain accurate pension data and records within HR systems and coordinate updates with external providers and custodians
  • Support annual pension processes, including pension adjustments, audits, valuations, and preparation of member statements
  • Collaborate with Payroll and Finance to ensure accurate pension reporting, calculations, and financial reconciliation
  • Administer group benefits programs (health, dental, LTD, life insurance, EFAP), including enrollments, changes, terminations, and employee support
  • Ensure accurate calculation of benefit deductions and timely processing of monthly billing, reconciliations, and remittances
  • Respond to employee and retiree inquiries related to pension and benefits programs, providing clear guidance and support
  • Liaise with external providers to resolve issues, process updates, and manage complex or sensitive cases
  • Support post-retirement benefits administration, including retiree communications, billing, and plan updates
  • Monitor key milestones (e.g., retirement eligibility, contract changes, LTD status) and ensure timely communication and action
  • Maintain data accuracy within HRIS systems (e.g., Dayforce) and support reporting and compliance requirements
  • Identify opportunities to improve processes, systems, and service delivery within pension and benefits administration
  • Support special projects, reporting, and committee work as required
