About The Position

The Associate Specialist, People & Culture is the first point of contact for the team, providing general HR support. The role supports recruitment of employees and volunteers, processes payroll and benefits, and manages the HRIS, including maintaining data accuracy and generating routine reports to support team and organizational needs.

Requirements

  • 2+ years of experience as a human resources coordinator or generalist, OR a combination of education and related experience.
  • 2+ years of experience managing payroll, with strong attention to detail.
  • Extensive experience managing and maintaining an HRIS and generating routine reports.
  • Strong organizational and time management skills, with the ability to manage multiple priorities and meet deadlines.
  • High attention to detail, particularly in data entry, record-keeping, and payroll-related tasks.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong interpersonal and communication skills, with a service-oriented and collaborative approach.
  • Ability to troubleshoot and respond to system-related (HRIS) inquiries.
  • Demonstrated ability to build positive working relationships across the organization.

Responsibilities

  • Be the first point of contact for the People & Culture department, responding to employee inquiries or redirecting to the appropriate team member.
  • Coordinate onboarding for all new employees and facilitate People & Culture orientation meetings.
  • Draft employment contracts and documentation related to employee lifecycle changes.
  • Manage the staff service anniversary award program.
  • Support the team with other administrative and operational duties, as required.
  • Support recruitment for employees and volunteers, including posting roles, scheduling interviews, conducting phone screens, participating in select first round interviews, and completing reference checks.
  • Recruit and coordinate volunteers for in office and event roles, including WWF-Canada’s Climb for Nature events, which includes facilitation of orientation sessions for volunteers.
  • Provide day-to-day administrative support for the volunteer program.
  • Process semi-monthly payroll using the HRIS and liaise with the external payroll provider.
  • Review payroll outputs to ensure accuracy, including tax remittances.
  • Complete payroll reconciliations and investigate discrepancies as advised by the external payroll provider, Finance & Planning department, or employees.
  • Act as the main point of contact for staff, contractors, or ADP for the annual audit process, annual T4 processing, and payroll yearend review.
  • Escalate payroll concerns with external payroll provider, ensuring matters are resolved in a timely manner.
  • Administer employee benefits (health and RRSP), including enrolments, terminations, and responding to employee inquiries.
  • Maintain the HRIS, including accurately inputting and updating employee data and responding to system-related inquiries.
  • Generate standard and ad hoc reports to support People & Culture activities and projects.
  • Process departmental invoices.
  • Manage the professional development budget, including reviewing employee reimbursement requests.
