About The Position

Hudson Valley Community College (HVCC) is seeking an experienced, dynamic, capable, creative, and caring individual to join their team as an Assistant Registrar. This position is part of the Office of the Registrar and reports to the Registrar or their designee. The Assistant Registrar will play a key role in maintaining student records, managing the course schedule, ensuring FERPA compliance, and supporting various student services and administrative processes. Requirements

  • Bachelor’s Degree from an accredited college or university
  • Four years of relevant experience in a post-secondary educational setting involving direct student contact and routine use of student records and record systems
  • One year of supervisory experience in a professional setting
  • Excellent oral and written communications skills
  • Must be legally authorized to work in the United States without restrictions

Responsibilities

  • Assists with the maintenance of the credit course and section schedule for all semesters and terms, collaborating with academic deans and department chairpersons for accuracy and resolving scheduling concerns.
  • Responds to requests for reservations of classrooms by on-campus organizations and individuals.
  • Works with student services departments to adjust the credit course and section schedule to accommodate student/faculty needs and resolve conflicts.
  • Prepares reports and provides information to college staff related to the credit course and section schedule.
  • Assists with the maintenance of the permanent academic record for all students, including accuracy of transcripts, grade changes, granting of credit by examination, and transfer credit evaluation.
  • Assists with ensuring institutional FERPA compliance.
  • Assists Registrar with processes related to National Student Clearinghouse reporting and compliance.
  • Assists with review of and process of assuring accuracy of multiple student IDs, working closely with appropriate administrative departments.
  • Facilitates the total withdrawal process and counsels students on the impact of withdrawing.
  • Assists with the coordination and development of registration procedures for credit courses, including technological configuration, monitoring activities, and supervision of registration within the Registrar’s Office.
  • Assists the campus community in understanding College policies and procedures.
  • Processes Veterans' enrollment certifications and related activities, potentially serving as Veteran Certifying Official and assisting with VA compliance audits.
  • Maintains oversight of WIRED and the Registration Information Center/student help email, responsible for troubleshooting and testing.
  • Supports the SUNY transfer mobility policy and assists with the implementation and maintenance of DegreeWorks functionalities (exceptions, troubleshooting, testing) and Cross-Registration.
  • Serves as the primary point of contact for the campus community with respect to course equivalency maintenance and oversees pertinent software.
  • Assists with the updating of the online College Catalog.
  • Supports office staff in responding to student inquiries and complaints and speaks with dissatisfied students.
  • Assists with the process to determine if a student with a prior degree can be accepted into another program at the associate level.
  • Assists with testing of Banner upgrades as they relate to all registrar-related areas.
  • May supervise Technical Assistants and Program Assistants.
  • Assists other offices within the division of Student Affairs on an as needed basis.
  • Performs other duties as assigned.
