About The Position

Assistant Property Manager assists in the operation and function of property management for multiple physician office buildings at the various campus in the Methodist Health System. Directs the operation and personnel management of Patient/Visitor Garages at the Methodist Dallas campus.

Requirements

  • Bachelors Degree
  • Three years of commercial/residential experience or Texas real estate salesman license
  • Computer experience (Word, Excel, Windows)

Responsibilities

  • Obtain bids, review bids, select contractors, oversee the execution of the build-out or refurbishing of physician suites for the physician office buildings and parking garage.
  • Work directly with physicians in the selection of finishes for suite construction or remodeling and select finishes for common areas.
  • Perform bookkeeping. This requires processing invoices and income which includes updating monthly tenant ledgers, preparing rent rolls, end-of-month accounting, and preparing and distributing tenant invoices, collect and deposit rental receipts and code receipts, balance, prepare reports and spreadsheets for Corporate Finance.
  • Deal directly with physicians and office managers on delinquent or late accounts and collections.
  • Manage all parking garage functions to include operations, maintenance, equipment, revenue, personnel hiring, evalulations, payroll, benefits, time and attendance, safety training, schedules and evalulations.
  • Maintain Door Access & Control Card System which includes the update, maintenance and creation of schedules for panels and readers in the system, input and update all access card information relating to physician offices and garages on each campus.
  • Assist Methodist Police card administrator as needed.
  • Record, schedule and submit to engineering, contractors or vendors work orders and service requests for bids, preventative maintenace, repairs and cleaning for the physician offices, POBs, garage, and other areas managed by Pavilion Properties.
  • Work in conjunction with Engineering Departments for inspections that engineering may perform.
  • Communicate with physician tenants of inspection requirements and follow-up through successful completion.
  • Inspect as necessary maintenance or building issues.
  • Order, prepare and manage graphics, install and direct the installation of tenant directories, building, traffic flow, identification and suite signs for physician tenants, and update & maintain the content of the electronic directories.
  • Direct the housekeeping contractor's activities and coordinate the quality of service provided to physician tenants.
  • Serve as liasion/co-ordinator between physician tenant and maintenance personnel providing services to the suites.
  • Independently author and draft reports, notices and other required correspondence.
  • Maintain and produce year-end recovery and prepare recovery documents and correspondence to physician tenants.
  • Communicate with tenants as legally required by lease changes in operating expenses and utilities.
