About The Position

The CSUVetCE team operates within the state-of-the-art continuing education (CE) facilities of Colorado State University’s Translational Medicine Institute (CSU-TMI). CSUVetCE seeks to provide an unparalleled CE experience every day – something we refer to as “CE Elevated”. We believe that people, animals and the planet can be improved when inspired learners, engaged educators and meaningful learning experiences collide; fostering that collision is our daily purpose. CSUVetCE, though a relatively new team, is now the largest university-based provider of veterinary continuing education in North America. We host approximately 100 courses each year on approximately 200 calendar days including a wide variety of training courses for veterinarians and veterinary technicians on the care of small animal, equine and other species. We also do a small amount of human continuing medical education and that sector may grow in the future. We are a small, but rapidly growing and maturing team; now is a great time to jump aboard CSUVetCE for the right person. We often operate on a 7-day work week in which the workload is divided into daily shifts amongst our team members. Responsibilities for CE lab operations will be divided between CELab Course Coordinators, CE Lab Assistants (this position) and student hourly employees and volunteers. Position is responsible for assisting in the coordination of the Continuing Education (CE) program at the Translational Medicine Institute. The position will be responsible for assisting the CE Events & Hospitality Coordinator and team in all aspects CE program execution including frequent, timely, courteous, and efficient communication with internal (other members of the CE team and TMI community) and external stakeholders (course participants, instructors, sponsor/vendors, etc.). In brief, this position in conjunction with the CE Events & Hospitality Coordinator set the tone for all aspects of the internal and external CE Elevated experience. Additionally, this position will assist the CE Events & Hospitality Coordinator in logistics/planning/scheduling of instructional sessions and event coordination and the in-person experience for all CE Course visitors and stakeholders. This position will be primarily responsible for in-person events, meetings, and courses.

Requirements

  • B.A./B.S. Hospitality, Event Management, Project Management or in a related field.
  • Demonstrated ability to organize, prioritize and manage multiple work projects and types of activities while meeting deadlines (i.e., project management) or Project Management Program certification (PMP).
  • 1-3 years of relevant professional experience with facility coordination.
  • 1-3 years of relevant professional experience with customer service.
  • Troubleshooting problems and providing customer/stakeholder support.
  • Excellent communication, team/interpersonal skills, and customer service.
  • Exemplary organizational, detail and time management skills.
  • Fluency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and Zoom.
  • Successful candidate must be legally authorized to work in the United States by time of application; the TMI/Clinical Sciences department will not provide visa sponsorship for these positions.
  • Pre-employment criminal background check (required for new hires).
  • Must be able to repeatedly lift up to 50 pounds and push heavy carts.
  • Willingness to work with animal cadavers.
  • Willingness/ability to work after hours or weekends as continuing education courses dictate.

Responsibilities

  • Collaborate with continuing education (CE) instructors and vendors to develop courses that address veterinary and human healthcare training needs.
  • Prepare and manage CE course budgets to assess and maintain financial viability.
  • Coordinate and oversee CE course logistics, including agendas, scheduling, content development, course materials, vendor support, and sponsor relationships.
  • Serve as a key point of contact for CE participants, instructors, and vendors before, during, and after events to ensure a high-quality experience.
  • Support CE team members and organizational stakeholders in achieving program goals.
  • Develop, maintain, and provide training on the Monday.com project management system and related standard operating procedures (SOPs).
  • Coordinate onboarding activities and support the development and integration of new team members.
  • Manage the CE operating program and communicate program details with external stakeholders, including instructors, contractors, and vendors.
  • Collaborate with audiovisual (AV) staff to support on-site course delivery and the creation of promotional materials.
  • Partner with communications and outreach teams to develop and execute marketing campaigns for online, in-person, and blended learning programs.
  • Create and manage digital marketing assets, identify effective distribution channels, and track campaign effectiveness.
