About The Position

This position will contribute to enhancing the museum’s artifact records. The Artifact Records Student will reconcile the original collections card catalogue (1957-1989) with existing accession files, catalogue sheets, and the PastPerfect database. In addition to data reconciliation, the position will provide support to the reception/event team for admissions, public programs, special events, outreach, and guided tours. This employment opportunity will provide mentoring and direct training for a student interested in gaining experience in a museum, library, or archives setting.

Requirements

  • Enrollment in a full-time post-secondary degree program in Museum Studies, History, Art History, Library Science, or a related field.
  • Enrolment must be for the 2026 – 2027 academic year.
  • Applicants are required to set up an account with Young Canada Works and identify an interest in this position.
  • Must be a Canadian citizen or a permanent resident, or have refugee status in Canada (non-Canadians holding temporary work visas or awaiting permanent resident status are not eligible).
  • Are legally entitled to work in Canada (have a valid social insurance number).
  • Between age 16 and 30 years of age inclusively at the start of employment.
  • Satisfactory Criminal Record Check (“CRC”) and Vulnerable Sector Screening (VSC) prior to commencing work at the City of Belleville.
  • 4 months of previous experience, can be volunteer experience, in a museum, archives, heritage site, or similar cultural heritage organization.
  • Demonstrable strong organizational skills, written and verbal communication skills, and customer services skills.
  • Experience in a dynamic environment with the ability to oversee diverse tasks, from data management to event support.

Nice To Haves

  • Current valid First Aid and CPR-C with AED certification.
  • Familiarity with cataloguing systems and database management, preferably in PastPerfect, with demonstrated diligence in ensuring accurate data entry and record reconciliation.
  • Capacity to identify discrepancies in data and present possible solutions for documentation.

Responsibilities

  • Perform data entry and reconciliation of artifact records, utilizing paper files and PastPerfect database.
  • Ensure accurate documentation of both existing objects and past deaccessions.
  • Research and document historical deaccession information and update collections records accordingly.
  • Perform work in a professional demeanor, including while interacting with colleagues and members of the public.
  • Support the reception desk and special event duties, taking payments, bookings, telephone inquiries, and assisting museum guests.
  • Provide timely and accurate information to the Manager and respond to direction and decisions as required.
  • Make decisions based on existing policies and procedures, with some interpretation, within prescribed limits.
  • Participate in orientation, training and review/follow corporate policies.
