Requirements

  • High school diploma or GED.
  • At least 1 year of experience in appointment scheduling, customer service, call center operations, medical office administration, or a similar customer-facing role.
  • Strong communication and customer service skills.
  • Good computer and data-entry skills.
  • Strong organization and attention to detail.
  • Ability to remain professional and compassionate in a busy environment.

Nice To Haves

  • Previous scheduling experience in a medical practice, physician office, specialty clinic, or outpatient healthcare setting.
  • Experience using an EHR, EMR, or medical practice-management system.
  • Familiarity with medical terminology and HIPAA.
  • Experience handling a high volume of patient telephone calls.

Responsibilities

  • Schedule, reschedule, and cancel patient appointments.
  • Manage a high volume of patient telephone calls and scheduling requests.
  • Accurately enter and maintain appointment information in our electronic scheduling system.
  • Provide patients with clear information about appointment dates, times, locations, and instructions.
  • Deliver professional, compassionate customer service—even when patients are frustrated, anxious, or upset.
  • Work with providers, clinical staff, and administrative team members to resolve scheduling issues.
  • Maintain patient confidentiality and comply with HIPAA requirements.
  • Follow GAP policies and procedures related to patient information, cybersecurity, safety, and compliance.
