About The Position

To succeed as the Medical Receptionist Supervisor, you must be focused on ensuring, attracting, and retaining top medical talent and streamlining office duties to maximize quality and efficiency while reducing costs. You should be analytical, knowledgeable, and organized with a proactive attitude and strong leadership skills. This role involves supervising and overseeing day-to-day duties of the medical department for all offices, training and evaluating medical employees, and enforcing company medical policies and procedures. The supervisor will also oversee and train new and existing medical and front desk staff, ensure daily front desk tasks are completed, and plan and schedule training sessions. Key responsibilities include collecting and storing information, communicating with the Program Director and Human Resources, acting as a liaison between various departments, and ensuring medical shift schedules align with contracts and budgets. The role also requires assisting with front desk responsibilities when needed, ensuring coverage for all shifts, providing back-up coverage, managing and tracking supplies, and providing sick/vacation leave backup for various clinic support staff when necessary. Other duties as required for this role.

Nice To Haves

  • Bachelor’s degree in business administration, management, or related field preferred not required.
  • Experience in related field, such as management, preferred.

Responsibilities

  • Supervising and overseeing day-to-day duties of the medical department for all offices.
  • Training, and evaluating medical employees, taking corrective action when necessary.
  • Enforcing and tracking company medical, policies, and procedures. As well and making sure employees are following the company’s policies and procedures.
  • Oversee and train new and existing medical and front desk staff.
  • Ensure that the daily task of the front desk is completed.
  • Planning and scheduling training and supervision sessions for medical staff.
  • Collecting, organizing, and storing information using computers and filing systems.
  • Communicating daily with the Program Director, and Human Resources to provide updates about the medical department and front desk receptionists.
  • Acting as a liaison between Administrative, Medical, Billing, and QA staff members.
  • Ensure medical shift schedules align with employee contracts and meet the requirements of the company budget.
  • Assist with all front desk responsibilities when on days with no medical staff.
  • Ensure coverage for all medical shifts, front desk shift and provide back-up coverage as needed.
  • Ensure that supplies are provided, and track supplies as needed.
  • Provide sick/vacation leave backup for patient services representative, medical records specialists, medical assistants, and other clinic support staff when there are no other resources available.
  • Other duties as required for this role.
