About The Position

The Administrative Support Specialist provides detail-oriented administrative and customer service support for employee benefit accounts, including Health Savings Accounts (HSAs), Flexible Spending Accounts (FSAs), and related reimbursement programs. This role combines claims processing, benefits administration, data entry, and office administration to ensure accurate account management and a high level of service for members and internal stakeholders. The position is ideal for an entry-level professional who is eager to grow within a rapidly expanding organization and advance quickly based on performance.

Requirements

  • At least 2+ years of administrative experience.
  • Proficiency with Microsoft Excel, including basic spreadsheet creation, data entry, and data review.
  • Strong administrative skills, including organizing, prioritizing, and managing multiple tasks.
  • High level of attention to detail to ensure accuracy in claims processing, data entry, and documentation.
  • Experience in benefits administration or working with employee benefit accounts such as HSAs and FSAs, or a closely related function.
  • Human resources (HR) exposure or familiarity with HR-related processes and benefit programs.
  • Accurate and efficient data entry skills.
  • Customer service experience, with the ability to handle inquiries and resolve issues professionally.
  • Office administration experience, including handling mail, filing, and general clerical tasks.
  • Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
  • Ability to maintain confidentiality and comply with privacy and security regulations.

Responsibilities

  • Process and administer reimbursement requests for Health Savings Accounts (HSAs), Flexible Spending Accounts (FSAs), and other benefit-related accounts with accuracy and timeliness.
  • Review, submit, and track manual claims to ensure they are processed correctly and within established timelines.
  • Issue manual payments and reimbursements in accordance with company policies, procedures, and compliance standards.
  • Respond to member inquiries regarding account balances, claims status, reimbursements, and general benefit plan questions in a professional and helpful manner.
  • Assist customers with online account access, including login support, password resets, and navigation of account tools and features.
  • Process incoming and outgoing office mail, ensuring timely distribution and secure handling of sensitive documents and information.
  • Maintain organized electronic and paper filing systems to support accurate recordkeeping, document retention, and easy retrieval of information.
  • Perform data entry tasks with a high degree of accuracy, ensuring that all benefit and account information is correctly captured and updated.
  • Provide administrative support across the office, including clerical tasks and general office administration as assigned.
  • Collaborate with team members to resolve customer concerns, escalate issues when necessary, and contribute to an exceptional service experience.
  • Maintain confidentiality of member information at all times and adhere to all applicable privacy and security regulations.
  • Assist with special projects and departmental initiatives, contributing to process improvements and operational efficiency as needed.
