About The Position

The Administrative Support File Clerk will be responsible for managing incoming communication, processing requests for slides, blocks, and requisitions, and maintaining accurate logs for traceability. This role involves traveling to off-site locations weekly to perform slide filing using LIS tracking systems. The clerk will also assist with Legal Hold Requests, prepare aged storage cabinets for transport, and support the reorganization of storage areas. Additionally, the position requires operating automated laboratory equipment, staying current with SOPs, reporting malfunctions, ensuring workstation coverage, and maintaining strict HIPAA compliance.

Requirements

  • Provide Motor Vehicle Report with clean driving record.
  • Provide a copy of current vehicle insurance declarations page of coverage.
  • Strong attention to detail and ability to maintain a high level of accuracy.
  • Excellent verbal and written communication skills in English.
  • Demonstrated ability to work both independently and as part of a team.
  • Knowledge of and ability to comply with HIPAA regulations.
  • Proficient in Microsoft Office Suite and other basic computer applications.
  • Customer service-oriented with a commitment to internal and external satisfaction.
  • Capable of handling multiple tasks and deadlines in a fast-paced environment.
  • Ability to work in a hybrid environment with on-site and off-site responsibilities.

Responsibilities

  • Monitor and respond to incoming communication via the shared archiving inbox.
  • Review and process requests for slides, blocks, and requisitions, both on- and off-campus.
  • Log all incoming and outgoing materials for traceability and tracking.
  • Travel to assigned off-site locations on a rotational weekly schedule to perform slide filing using LIS tracking systems.
  • Assist with Legal Hold Requests, ensuring proper collection and placement of materials in designated off-site Legal Hold libraries.
  • Help prepare aged storage cabinets for transport to deep storage, including materials for Continuing Medical Centers (CMCs).
  • Support the rotation and reorganization of block, slide, and requisition storage areas to optimize space utilization.
  • Use automated laboratory equipment according to standard operating procedures and manufacturer instructions.
  • Stay current by completing required SOP reviews and educational modules.
  • Notify supervisors of any instrument or system malfunctions.
  • Ensure workstations are properly staffed, including arranging coverage during breaks or shift changes.
  • Maintain HIPAA compliance and protect the confidentiality of patient data at all times.
