About The Position

This position serves as an Administrative Support Assistant (OA) and represents the command. The role involves coordinating calendars, managing visitors, directing calls, and distributing correspondence. The assistant will handle incoming mail, screen materials, and draft/finalize official correspondence, policy, and procedural guidance. Responsibilities also include maintaining records, scheduling training, and preparing travel orders. The position may be used to fill various shifts within DLA Distribution Pearl Harbor, HI.

Requirements

  • Appointment is subject to the completion of a favorable suitability or fitness determination, where reciprocity cannot be applied; unfavorably adjudicated background checks will be grounds for removal.

  • You will be a Mission Essential employee. This requires you to work during an emergency to ensure continuation of essential functions. You may be required to work at the designated duty location, a telework site, or an alternate location/facility.

  • Operates office automation equipment to perform word processing, spreadsheet, graphics, database management, and report generation using a variety of software packages.
  • Coordinates and maintains Calendars to schedule appointments and resolve conflicts based on priorities and other commitments.
  • Prepares and/or finalizes all official command correspondence, policy and procedural guidance, awards, and orders using proper grammar, spelling, capitalization, punctuation, and formatting.
  • Must be able to type at least 40 words per minute.
  • Must be able to obtain and maintain licenses and/or certifications required by the installation, federal, state, and local laws.

  • One year of specialized experience that equipped you with the particular competencies to successfully perform the duties of the position and is directly in or related to this position.
  • To qualify at the GS-07 level, applicants must possess one year of specialized experience equivalent to the GS-06 level or equivalent under other pay systems in the Federal service, military or private sector.
  • Graduate education may be credited in those few instances where the graduate education is directly related to the work of the position.

Responsibilities

  • Represents the command and serves as the initial point of contact to coordinate the Commander/Deputy Commander's calendars, as well as to route visitors, direct incoming calls and distribute correspondence.
  • Receives incoming mail, reviews incoming correspondence, and screens material prior to distribution of suspense dates.
  • Drafts and/or finalizes all official command correspondence, policy and procedural guidance; receives and files correspondence, records, and reports; and maintains copies of regulations and directives.
  • Schedules and coordinates mandatory and career-enhancing training; maintains training attendance, evaluation and completion records.
  • Prepares travel orders and administers the command's travel program; reviews and coordinates transportation and lodging requirements with government travel offices and agencies.
