About The Position

The Administrative Specialist I position supports the Data and Quota Monitoring Program by receiving and processing commercial harvest reports and permitted species reports submitted via paper and electronically. This role assists the Commercial Harvest Reporting Group and the Permit and Quota Monitoring Program within the Unit’s Fisheries Data Management and Quota Monitoring Division. The position also provides customer service, works with the E-Reporting with FACTS electronic harvest reporting program, and handles the receipt, computer entry, SOP development and maintenance, and organization of commercial fishing reports and permitting documents. This involves data entry, mail processing support, document updates, and customer service outreach.

Requirements

  • Graduation from an accredited high school or possession of a high school equivalency certificate.
  • Six months of experience performing administrative staff, clerical, clerical technical, or secretarial work.
  • Candidates may substitute 30 credit hours from an accredited college or university for the required experience.
  • Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.
  • Possession of a motor vehicle operator’s license valid in the State of Maryland may be required for certain duties.

Nice To Haves

  • Experience working with biological data sets, including organizing, maintaining, analyzing, or interpreting biological or scientific data.

  • Experience providing customer service in a professional setting.

Responsibilities

  • Entering harvest and quota information into computer software programs.
  • Testing new software for harvest report processing.
  • Managing back entry of baitfish reports.
  • Sorting, organizing, and filing a high volume of mail.
  • Distributing/collecting fishery-specific permits and materials (harvest tags, paper permit cards).
  • Traveling in-state for seasonal projects.
  • Accessing a web-based harvest reporting system.
  • Providing recruiting and training support for the E-Reporting program.
  • Interacting with commercial harvesters over the phone and in person.
  • Performing commercial harvest reporting data management (electronic and paper reports).
  • Providing permitted species (quota monitoring) support.
  • Conducting quality control checks on computer data files.
  • Performing physical inventory of permitted species materials.
  • Opening, sorting, and time-stamping mail.
  • Filing, moving boxes, and retrieving archived files from remote storage facilities.
