About The Position

We're looking for a highly organized, proactive, and detail-oriented Administrative Coordinator to support our Senior Executive Assistant and help keep our day-to-day operations running seamlessly. In this role, you'll report to the Senior Executive Assistant and work closely with the leadership team to provide administrative, operational, and people support across the organization. You'll coordinate priorities, manage logistics, and keep projects moving forward, helping the team stay organized and ensuring day-to-day operations run efficiently.

Requirements

  • 1–3 years of experience in an administrative, office coordination, or operations support role.
  • Bilingual in English and French
  • Strong organizational skills and attention to detail.
  • Excellent communication and follow-through.
  • Resourceful, proactive, and dependable.
  • Comfortable managing multiple priorities and administrative processes.
  • Experience with Google Workspace, Microsoft Office, or similar tools.
  • Only local candidates (Montreal) will be considered for this position

Responsibilities

  • Provide day-to-day administrative support to the Senior Executive Assistant, including calendar management, scheduling, and meeting coordination.
  • Coordinate travel arrangements, prepare itineraries, and assist with executive and team administrative requests.
  • Maintain organized records, documentation, and filing systems to ensure accuracy and accessibility.
  • Track action items, follow-ups, and deadlines while supporting cross-functional operational projects.
  • Coordinate employee onboarding and offboarding, ensuring a smooth and positive experience.
  • Prepare employment documentation, collect signatures, and maintain accurate employee records.
  • Assist with benefits administration and respond to employee requests in a timely and professional manner.
  • Support recruitment efforts by coordinating interviews, scheduling candidates, and managing candidate communications.
  • Maintain and update HR systems and confidential employee information.
  • Manage office supplies, snacks, inventory, incoming mail, and package deliveries.
  • Coordinate with building management, vendors, and service providers to ensure smooth day-to-day office operations.
  • Help maintain a well-organized, welcoming, and efficient workplace environment.
  • Coordinate employee recognition initiatives, celebrations, gifts, and milestone acknowledgements.
  • Assist in planning and executing team events, off-sites, company meetings, and other workplace activities.
  • Support accounts payable by preparing and processing invoices for approval.
  • Assist with payroll processing, helping ensure employees are paid accurately and on time.
  • Help organize financial records, including expense tracking and basic bookkeeping support.
  • Provide administrative and documentation support to the finance team as needed.
