About The Position

The Administrative Assistant will be responsible for maintaining and updating production databases, preparing and distributing various reports (production, overtime, and safety), and ensuring timely communication of safety metrics. This role also involves developing professional presentations using Microsoft Excel and PowerPoint, supporting the preparation of materials for key meetings, and creating visual dashboards. Additionally, the Administrative Assistant will participate in continuous improvement initiatives to optimize information flow and streamline workflows.

Requirements

  • Proficiency in Microsoft Excel (pivot tables, advanced formulas, charts) and PowerPoint.
  • Strong organizational and time management skills.
  • Analytical mindset with attention to detail and data accuracy.
  • Excellent written and verbal communication skills.
  • Ability to manage confidential information with discretion.
  • Associate degree or equivalent experience in Business Administration or related field.
  • 5+ years of administrative experience.

Nice To Haves

  • Experience in manufacturing or production environments preferred.
  • Familiarity with ERP systems and production tracking tools is a plus.
  • Bachelor’s degree preferred.
  • Certified Administrative Professional (CAP) - preferred
  • Microsoft Office Specialist (MOS) - preferred
  • CAPM (Certified Associate in Project Management) or PMP (Project Management Professional) - preferred
  • Lean Six Sigma (Yellow Belt or Green Belt) - preferred

Responsibilities

  • Maintain and update production databases.
  • Prepare and distribute daily, weekly, and monthly Production Reports.
  • Manage Overtime (OT) Requests and compile OT Reports by Area.
  • Collect, compile, and distribute Safety Reports across all three plants.
  • Ensure timely and accurate communication of safety metrics and incident tracking.
  • Develop professional presentations for internal and external stakeholders using Microsoft Excel and PowerPoint.
  • Support the preparation of materials for customer meetings, executive reviews, and Board presentations.
  • Create clear, visually engaging graphs and dashboards to communicate key performance indicators (KPIs).
  • Participate in continuous improvement initiatives, particularly in information flow optimization (e.g., scrap declaration processes).
  • Identify and propose innovative solutions to streamline administrative and operational workflows.
