About The Position

Daifuku Airport America Corporation is a subsidiary of Daifuku North America, a group company of Daifuku in Japan, which is the largest material handling company in the world. Our advanced systems move everything from car bodies at auto plants to luggage at airports to packaged goods at warehouses. We are known as experts in engineering, manufacturing, and servicing innovative automated materials handling systems including conveyors, automatic guided vehicles, automated storage & retrieval systems, and integrated controls. The company is currently seeking an experienced Administrative Assistant. The Administrative Assistant provides high-level administrative support to the Plant Manager, Shop Manager, Human Resources, and Plant Supervisors. This role processes and corrects time and attendance for hourly employees, reconciles company credit card receipts for the facility, and processes daily shop paperwork. The position is responsible for maintaining weekly and monthly records and providing main switchboard coverage.

Requirements

  • High School Diploma with at least 2 years administrative support experience
  • Strong organization skills with ability to prioritize tasks
  • Ability to collect data and compile reports
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office products
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Knowledge of the practical application of engineering science and technology. This includes applying principles, techniques, procedures, and equipment to the design and production of various goods and services.
  • Knowledge of raw materials, production processes, quality control, costs, and other techniques for maximizing the effective manufacture and distribution of goods.
  • Time Management — Managing one's own time and the time of others.
  • Critical Thinking — Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.

Nice To Haves

  • Associate degree preferable
  • Experience with UKG is preferable
  • Proficiency in ADP HRIS system a plus
  • Understanding of insurance benefits a plus

Responsibilities

  • Enter and maintain records in ADP HRIS system
  • Temporary Employee Time/Records for Billing
  • Prepares attendance records
  • Ordering office and medical supplies including personal protective equipment
  • Maintains and Tracks vacation schedules, work schedules, and attendance in UKG
  • Responsible for new employee orientation training and scheduling
  • Maintains employee records and files
  • Maintain Hazardous Waste Manifests
  • Maintain SDS sheets
  • Weekly and Monthly Reporting on attendance and projects
  • Daily mail distribution
  • Organize and Schedule of plant maintenance including HVAC maintenance, lawn care, snow removal, and window cleaning
  • Maintain 5s Audit Records
  • Main Switchboard coverage
  • Maintain UKG hourly timecard system
  • Update bulletin boards weekly/monthly
  • Prepare invoices for payment
  • Order and organize visitor lunches
  • Support and participate in the company quality process
  • Credit Card Maintenance and Balancing
  • Contributes to team effort by accomplishing related results as needed
  • Perform other work-related duties as required
