About The Position

The Police Athletic League (PAL) of New York City is an independent youth development nonprofit organization serving children and young adults across all five boroughs. PAL offers diverse programs including Head Start, after-school programs, summer day camps, teen centers, college readiness programs, youth employment, and juvenile justice programs, with a strong emphasis on sports. PAL is seeking Administrative Assistants to support out-of-school-time programming and provide excellent customer service. These roles will be key members of the leadership team, directly reporting to the Elementary or Middle School Director, and will support frontline staff, Site Leadership, and PAL Headquarters in implementing back-office procedures. Familiarity with SACC regulations and DYCD funding requirements is a plus. Candidates should be dedicated to learning and implementing Best Practices in youth development, supporting the ideas and opportunities of youth, staff, and the community, and possess excellent communication and listening skills.

Requirements

  • A minimum of sixty credits towards a degree from an accredited college or university in administration or human resources.
  • A minimum of 5 years of paid work experience in a non-profit youth or social service agency in an administrative or managerial capacity.
  • Open to learning and growing.
  • All staff will be learning mental health, SEL, and special needs inclusion skills and expected to integrate them into programming.
  • Microsoft office skills are required.
  • Strong verbal and written communication skills and ability to work collaboratively.
  • Able to travel to any PAL location in the 5 Boroughs (for Professional Development days).
  • Available for training opportunities outside of program hours.

Nice To Haves

  • Bi-lingual in Spanish, French, or Chinese preferred.
  • Familiarity with SACC regulations and DYCD funding requirements is a plus.

Responsibilities

  • Foster social and emotional competencies and mental and physical well-being in a safe, welcoming, inclusive, and nurturing environment.
  • Responsible for planning and implementing an efficient enrollment process that meets PAL’s target enrollment by established deadlines.
  • Creates and maintains participant files that are aligned with SACC standards and contain all relevant information for participants including medical needs of participants, IEPs, support plans, and logs.
  • Ensure that Part-time staff are aware of students in their group that have IEPs and share developed support plans and track logs.
  • Enter attendance into PAL databases accurately and within established deadlines.
  • Answers questions from parents and staff.
  • Coordinates with the Principal, Director, Regional Director, and Headquarters to ensure timely communication of important program data (calendars, registration numbers, etc.).
  • Ensures the program’s office procedures are aligned to strategic objectives of PAL, PAL policies and procedures, agency programming calendar, SACC regulations, and the contractual obligations of government and private funding sources.
  • Respond appropriately when time-sensitive mental health services are needed such as suicide prevention, grief, and loss due to death or incarceration of a family member.
  • Provide referrals to appropriate mental health services as needed.
  • Leads compliance process for new PAL hires and orders, secures, and manages office supplies and equipment.
