About The Position

The Administrative Assistant will be responsible for greeting incoming staff and clients, assisting them with their needs, and answering incoming calls. This role involves managing medication distribution, collecting and distributing mail and client checks, creating various office packets and binders, and scheduling trainings and presentations. The Administrative Assistant will also ensure the office is functioning properly, process mileage sheets, collect and file daily logs, and train new employees on specific systems. Additionally, this position requires participation in the Safety Committee, updating the bulletin board, and performing other assigned duties.

Requirements

  • High School graduate or GED
  • Minimum of 2 years administrative experience
  • Typing and excellent computer skills
  • Proficiency in Word, Excel, and Outlook
  • If driving frequently for VOANLA business: MVR background check
  • Maintain valid driver’s license
  • Maintain vehicle liability insurance if driving personal vehicle.

Responsibilities

  • Greet incoming staff and clients and assist with their needs.
  • Answer incoming calls for the program/agency.
  • Receive, sign for, and securely store medication from vendors.
  • Distribute medication to staff/clients, ensuring correct sign-out procedures are followed.
  • Collect mail from the main office and distribute it.
  • Pick up client checks from the main office, ensuring correct sign-out procedures.
  • Create packets for logs, new hires, program presentations, and orientations.
  • Maintain a supply of blank forms (progress notes) and create binder templates.
  • Schedule all trainings, program presentations, and orientation classes.
  • Ensure the office is accessible and functional, maintaining copier, scanner, and printer operations and supplies.
  • Collect and process mileage sheets, ensuring completeness, calculating totals, and scanning to accounts payable by the due date.
  • Collect daily logs and file them by client name and date.
  • Engage in company trainings and participate in weekly staff meetings.
  • Train new employees on Paycor and mileage procedures.
  • Participate as a member of the Safety Committee, including monthly meetings and leading safety drills.
  • Communicate safety information to program staff.
  • Update the Bulletin Board with relevant information.
  • Perform other duties as assigned.
