About The Position

The Administrative Assistant – Safety provides direct administrative support to the Director of Safety and the Safety Department to help ensure efficient daily operations, accurate documentation, and timely communication. This position plays a key role in supporting departmental workflow through data entry, document management, phone coverage, travel coordination, equipment tracking, correspondence, and general office support. The ideal candidate is organized, detail-oriented, dependable, and able to manage multiple priorities in a fast-paced environment.

Requirements

  • High school diploma or GED required.
  • Previous administrative, clerical, receptionist, or office support experience preferred.
  • Strong data entry skills and attention to detail.
  • Professional written and verbal communication skills.
  • Strong organizational and time management skills with the ability to manage multiple tasks and deadlines.
  • Proficiency with Microsoft Office and general office systems; ability to learn department-specific software quickly.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong interpersonal skills and a customer-service-oriented approach when interacting with employees, vendors, and outside contacts.
  • Valid driver's license required.

  • Experience supporting a safety, transportation, industrial, construction, or operations team.
  • Experience with document control, invoice support, shared mailboxes, or equipment tracking.
  • Experience supporting a manager or director with administrative coordination, communication, and records management.

Responsibilities

  • Provide direct administrative support to the Director of Safety and assist with daily departmental needs.
  • Enter, update, and maintain department records, logs, forms, and other data with a high level of accuracy.
  • Answer and route incoming internal and external phone calls in a professional and timely manner.
  • Scan, file, organize, and distribute documents to the appropriate personnel and systems.
  • Assist with equipment tracking and processing vouchers and related support documentation.
  • Arrange hotel accommodations for out-of-town jobs as needed.
  • Prepare correspondence, reports, forms, and written responses to routine inquiries.
  • Handle requests for information and route items to the appropriate department contact.
  • Support department communications, shared mailboxes, and document flow as assigned.
  • Maintain organized electronic and physical filing systems for the Safety Department.
  • Assist with invoice support, indexing, and other administrative processing tasks within department systems as needed.
  • Perform other administrative duties as assigned in support of the Director of Safety and the Safety team.
