About The Position

Response Biomedical Corp. is seeking an Administrative Assistant to provide company-wide administrative support. This role will involve entry-level administrative tasks, including contract and legal administration, as well as general support to departments such as production operations, finance, document control, inventory management, and shipping & receiving. The core purpose of this role is to contribute to improving patient outcomes and saving lives globally.

Requirements

  • High School Diploma required.
  • Previous experience in an administrative or clerical role is beneficial but not required.
  • Strong organizational skills with attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with digital filing systems.
  • Excellent written and verbal communication skills.
  • Ability to manage time effectively and prioritize tasks in a dynamic environment.
  • A positive attitude with a willingness to learn and adapt to new tasks.
  • Ability to work independently with minimal supervision.
  • Availability to work during regular office hours (Monday to Friday) with occasional overtime if required.
  • Willingness to support different teams and adapt to varying administrative needs.

Nice To Haves

  • Post-secondary education in Office Administration, Finance, or a related field is preferred.
  • Familiarity with basic finance or legal terminology is an asset but not required.

Responsibilities

  • Maintain an organized system for managing contracts and legal documentation.
  • Support the review process by ensuring proper documentation is distributed and filed appropriately.
  • Monitor contract renewal dates and alert relevant team members.
  • Handle legal signoffs for contracts and corporate resolutions, including routing documents for signatures, tracking progress, and maintaining compliance records.
  • Provide support with legal document templates.
  • Prepare and maintain financial documents and spreadsheets.
  • Handle data entry tasks, ensuring accuracy and timely completion.
  • Organize and maintain filing systems for financial records.
  • Assist in managing incoming and outgoing Finance/Accounting correspondence.
  • Assist in preparing regular financial reports.
  • Act as a liaison with the parent company finance team.
  • Provide administrative support to ensure efficient operation of the office.
  • Answer the telephone, schedule meetings, and support visitors.
  • Carry out administrative duties such as filing, typing, copying, and scanning.
  • Maintain the corporate calendar and corporate directory.
  • Complete operational requirements by scheduling and assigning administrative projects.
  • Assist in making travel arrangements for senior staff.
  • Provide administrative assistance to other departments as needed.
  • Support the organization and management of common office areas.
  • Maintain inventory levels of office supplies by checking stock, anticipating needs, and placing orders.
  • Assist with the preparation of monthly townhalls and other company-wide meetings and events.
  • Help prepare reports, presentations, and other documents for cross-departmental use.
  • Act as a liaison for coordinating with external vendors and service providers.
  • Maintain an organized document filing system within the document control room and support other document control activities.
  • Review manufacturing records and related documentation to ensure production activities are accurately documented and completed in a timely manner.
  • Perform ERP inventory transactions, including material picking, inventory receipt, and component reconciliation.
  • Support shipping and receiving activities, including picking, packing, preparing shipping documentation, receiving incoming materials, completing required inspections and checks, and placing materials in appropriate storage locations.
  • Support material handling activities by operating a pallet jack and picking, moving, storing, and supplying materials to Production.
  • Assist with inventory counts and support inventory management activities.

Benefits

  • Salary range of $45,000 to $50,000 annually, depending on experience and qualifications.
