About The Position
The Administrative Assistant supports Tom James Company sales team members, store leaders, and key organizational leaders in fulfilling the company’s mission to be a global leader in the fashion industry. The role is a valued member of the sales support team and is based in the Phoenix, Arizona office. It is a full-time position for 40 hours per week, paying $19.75 per hour.
Requirements

- Social-media savvy, especially on LinkedIn and Instagram.
- Proficient with multiple forms of technology, including Microsoft Office and Google Docs, Sheets, and Forms.
- Basic accounting skills, such as balancing accounts.
- Flexible and able to multitask.
- Motivated to tackle challenges.
- Enjoys working in a fast-paced team environment.
- Able to bend and lift 30 pounds.
- Valid driver’s license required, with an exception for larger metropolitan areas.
Nice To Haves
- Two years of office-related experience is preferred.
- Experience in a sales-oriented environment is a plus.
Responsibilities
- Prepare for daily client visits.
- Prepare clothing for delivery.
- Locate client information, including accounts receivable balances and sales sheets.
- Update sales materials regarding fabrics and options.
- Coordinate and maintain client orders and files.
- Communicate with clients to set appointments, provide order status, schedule deliveries, and send reminders.
- Support sales professionals by communicating regularly with them and other store team members, meeting to set goals, managing the daily calendar, and organizing inventory.
- Pursue efficiencies in processes and communication.
- Pick up and deliver client items as needed.
- Prospect for new clients using internet and social media applications.
- Conduct digital marketing using LinkedIn, Instagram, Facebook, Threads, and Twitter.
- Enter referrals into the proprietary system.
- Send introductory and promotional messages.
- Create call lists and hot lists.
- Provide exceptional customer service when contacting factories, the corporate office, clients, and outside vendors.
- Maintain a professional image when interfacing with corporate clients.
