About The Position

The Receptionist is accountable for managing the company’s lobby area; greeting and directing all visitors; ensuring completion of paperwork, sign-in and security procedures; handling special administrative projects, as well as overflow work from other departments; responsible for answering incoming calls and greeting all guests. She/he will maintain a smooth flow of work in accordance with changing priorities, while coordinating and implementing office procedures and taking ownership of assignments.

Requirements

  • Manage the company’s lobby area.
  • Greet and direct all visitors.
  • Ensure completion of paperwork, sign-in and security procedures.
  • Handle special administrative projects and overflow work from other departments.
  • Answer incoming calls and greet all guests.
  • Maintain a smooth flow of work in accordance with changing priorities.
  • Coordinate and implement office procedures.
  • Take ownership of assignments.
  • Keep the switchboard open and operating from 8:00 a.m. to 5:00 p.m.
  • Coordinate with relief coverage for breaks.
  • Greet guests professionally and hospitably.
  • Ensure visitors sign the Security Guest Sign-In Book.
  • Announce and direct visitors to the appropriate colleague.
  • Answer telephones and direct callers to the appropriate associate.
  • Transfer callers to voice mail when staff is unavailable.
  • Provide callers with company information (address, directions, email, fax, website).
  • Receive, open, and date stamp incoming mail.
  • Add accounting stamp and copy all incoming invoices.
  • Coordinate pick-up and delivery of express mail services (FedEx, DHL, UPS, etc.).
  • Assist with clerical duties such as photocopying, mailing, faxing, filing, etc.
  • Type correspondence, reports, panel schedules, transmittals, etc.
  • Update Trade Service Book.
  • Operate general office equipment such as switchboard, printers, calculator, copiers, scanners, etc.
